We are seeking an Executive Assistant / Executive Support Officer to provide high-level personal assistant, administrative and executive support to Vardir’s Executive Team, including the Director and Chief Operating Officer.
This role is suited to someone who is highly organised, professional, discreet and confident working across diary management, communications, meetings, travel logistics, records, documentation and executive support.
The Role:
Responsibilities may include:
- Providing confidential executive and personal assistant support to the Director, Chief Operating Officer and Executive Team.
- Managing diaries, meetings, emails, correspondence, travel, logistics, deadlines and follow-up actions.
- Coordinating and attending meetings as required, including client, stakeholder, Traditional Owner, PBC, government and proponent meetings.
- Preparing meeting papers, minutes, action lists, reports, briefing notes and other executive documents.
- Acting as a professional point of contact between the Executive Team, staff, clients and external stakeholders.
- Supporting Vardir’s LinkedIn, website and social media content as directed.
- Maintaining confidentiality, discretion and professionalism when handling sensitive business, staff, client, cultural and financial information.
- Providing broader administrative, coordination and records support across the organisation as required.
About You:
Essential skills, experience and abilities you must have:
- Experience in an executive assistant, personal assistant, administration, office coordination or similar support role.
- Strong organisational skills, including the ability to manage competing priorities, deadlines, calendars and changing schedules.
- High level written and verbal communication skills, including the ability to prepare professional emails, correspondence, meeting notes and documents.
- Strong attention to detail and ability to maintain accurate records.
- Ability to manage confidential and sensitive information with discretion, professionalism and sound judgment.
- Strong Microsoft Office skills, including Outlook, Word, Excel, PowerPoint and Teams.
- Current Australian driver’s licence.
Desirable but not essential skills and experience you may have:
- Experience working in a consultancy, Aboriginal corporation, native title, heritage, or environmental organisation.
- Experience supporting Directors, CEOs, COOs, Boards or senior executive staff.

Employment Type:
Permanent Full-Time or can consider Part-Time 0.6 FTE
Before an offer of employment can be made, Vardir requires a National Police Clearance no older than 6 months, evidence of an unrestricted driver’s licence, and proof of qualifications or certifications where applicable.
