We are seeking an experienced and highly organised Office Manager to oversee the day-to-day administration and operational support functions of our business in Malaga.
About the Role
As Office Manager, you will play a key role in ensuring the smooth and efficient operation of our office, supporting our sales, manufacturing, and installation teams. You will be responsible for managing administrative systems, coordinating staff and resources, maintaining business records, and assisting management with operational and human resource activities.
Key Responsibilities
The Employee's duties include, but are not limited to:
- Plan, coordinate, and review office administration and support services.
- Manage office resources, including staff, equipment, vehicles, supplies, and workplace systems.
- Supervise and support administrative staff, allocate workloads, and monitor performance.
- Maintain accurate customer, supplier, employee, and company records.
- Assist with accounts administration, invoicing, purchase orders, payroll processing, and related financial administration tasks.
- Liaise with customers, suppliers, contractors, installers, and service providers.
- Coordinate scheduling of quotations, site measures, installations, service calls, and operational activities.
- Ensure office equipment, computer systems, vehicles, and supplies are properly maintained.
- Support compliance with workplace health and safety requirements and company policies.
- Assist with recruitment, onboarding, staff training, performance management, and workforce scheduling.
- Prepare reports, maintain administrative procedures, and identify opportunities to improve business efficiency.
- Provide general operational support and undertake other duties consistent with the role.
About You
To be successful in this position, you will have:
- Previous experience in an Office Manager, Administration Manager, or similar role.
- Strong organisational and time management skills.
- Excellent communication and interpersonal abilities.
- Experience supervising staff and coordinating administrative functions.
- Sound knowledge of Microsoft Office and business management systems.
- Experience with accounts administration, payroll, or bookkeeping functions.
- Ability to manage multiple priorities and work independently.
- Strong attention to detail and problem-solving skills.
- A proactive and professional approach to work.
