Given our workload and our future growth, we are looking for a skilled ICT Business Consultant to help us optimise our internal systems, digitise our service delivery and support the ongoing transformation of our client management and case processing platforms.
About the Role
The ICT Business Consultant will manage and improve of our internal CRM system, working closely with our migration, education, administrative, finance and marketing teams to analyse how case data flows through the business and to translate operational needs into practical system enhancements. A key part of this role involves analysing CRM case data and workflows, including identifying processing bottlenecks, data quality issues and opportunities to improve system efficiency and reporting accuracy. This is a great opportunity for someone who enjoys bridging the gap between business operations and IT, in a fast-paced, people-focused professional services environment.
Job Duties:
1.Gathering requirements from users by working regularly with our teams to define and refine what our case management system needs to do, such as tracking visa application stages, client documents, and deadlines.
2.Analysing and monitoring business processes on an ongoing basis by mapping out how a case flows in practice, from initial consultation and eligibility assessment through document collection, application lodgement, and follow-up to post-decision matters such as appeals or further visa applications.
3.Identifying inefficiencies by working across our teams on a regular basis to spot common pain points and recommending ongoing fixes.
4.Maintaining and improving our existing CRM system by continuously reviewing how it is used, identifying new configuration needs as the business grows, and coordinating enhancement requests, scoping, and timelines across teams.
5.Testing and validating system functionality on an ongoing basis by developing and running test plans to confirm our CRM correctly tracks visa subclasses, generates the right document checklists for each visa type, and produces compliant client file records whenever updates are made.
6.Writing user guides and delivering regular training sessions for migration agents and supporting staff on systems such as intake forms, client portals, and case tracking tools, including refresher training as the systems evolve.
7.Translating business needs into technical specifications, on an ongoing basis, as new requirements emerge. For example, turning a requirement such as "track visa condition compliance dates and notify the client and agent 30 days in advance" into a clear specification a developer can build from.
8.Modelling and maintaining the client and case data structure, including the relationships between clients, visa applications, documents and family members or dependants, to support ongoing reporting needs. For example, the number of applications awaiting a decision, broken down by visa subclass or by responsible teams.
9.Acting as the ongoing link between our teams and the CRM technicians, ensuring the system continues to reflect genuine regulatory and compliance needs.
10.Collecting relevant materials and data from the CRM (e.g. case statistics, success stories, testimonials) and pass them on to the marketing team for promotional use.
Pay: $80,000.00 – $85,000.00 per year
