We are looking for a reliable and detail-focused Client Services Administrator to support the day-to-day administrative needs of our growing practice.
About the Role
This role focuses on supporting a positive, organised and responsive experience for the families, clients and professionals we work with.
You will be involved in client communication, scheduling support, onboarding, client file checks, invoicing support and general practice administration. This role would suit someone who enjoys variety, notices the small details, and can keep multiple tasks moving across the day.
You will have direct communication with clients and their families via email and phone call. You will be supported with clear processes and guidance, while also being expected to take initiative, follow through on tasks, and communicate clearly when something needs attention.
The role can be mostly work from home, with a company phone and laptop provided. It is expected that you will work from our Leichhardt office 1-2 days per fortnight.
There is genuine opportunity for this role to grow to a full time/office manager role for the right candidate.
Key Responsibilities
In this role, you will support the smooth day-to-day running of the practice by:
- Responding to enquiries from families, clients, referrers and professionals in a warm and professional way
- Supporting new client onboarding, including intake forms, service agreements and payment information
- Assisting with appointment scheduling, cancellations, waitlist follow-up and calendar updates
- Monitoring appointment gaps and helping offer available times to clients where appropriate
- Keeping client information, files and practice management systems accurate and up to date
- Assisting with invoicing checks, plan manager details and basic finance administration
- Following up on missing information, documents or admin tasks
- Supporting clear communication between families, therapists and the Director
- Keeping admin task lists organised and flagging issues when something needs attention
- Providing general administrative support to help the practice run smoothly
About You
We are looking for someone who is:
- Highly organised and detail-oriented
- Warm, friendly and professional in communication
- Reliable and able to follow tasks through to completion
- Comfortable managing multiple small tasks across the day
- Confident learning and using digital systems
- Able to take initiative while also following established processes
Experience in administration, reception, customer service, healthcare, allied health, disability or NDIS-related work would be valued, but is not essential.
An openness to learning about neurodiversity-affirming language and approaches is essential. Training and guidance will be provided.

Pay
Pay will be based on experience and final classification under the Health Professionals and Support Services Award.

Pay: $60,000.00 – $80,000.00 per year
