Primary objective
Provide executive level administrative support and coordination to the General Manager Business and Regions and staff to
assist the division to operate effectively.
Key duties and responsibilities
1. Work collaboratively within the Business and Regions division, providing executive level assistance to the General
Manager, including word processing, diary and email management, professional receptionist support, travel arrangements
and directing the flow of correspondence.
2. Coordinate and assist in the preparation of briefings, reports, general correspondence, records management, meeting
preparation and minutes.
3. Maintain strong and effective relationships with all levels of staff within the agency, external agencies, and outside
organisations, to assist in the smooth day to day operations of the agency’s activities.
4. Maintain effective security over confidential and sensitive records and documentation.
5. Continually improve administrative systems and processes to ensure effectiveness and efficiency.
6. Responsibility for general office duties including stationery ordering, and monitoring of IT, phones, printers, and vehicle
costs.
Selection criteria
Essential
1. Proven experience working effectively in an executive support role or equivalent experience requiring confidentiality,
initiative, integrity, and sound judgement.
2. High level of motivation with demonstrated sound organisational, administrative, and problem-solving skills, including
proven ability to manage time effectively, prioritise tasks and meet deadlines.
3. Demonstrated ability to communicate effectively and diplomatically, including the ability to prepare correspondence in
plain English in accordance with required formats, standards and with attention to detail.
4. High level of computer literacy including expertise in the various standard office software packages.
5. Strong interpersonal skills and a commitment to high personal work standards and delivery of client focussed services to
internal and external clients and stakeholders.
Desirable
1. Experience with the TRM (records management system) and TRIPS (travel request information process system) or
equivalent.
2. NT Driver’s Licence or the ability to obtain.
