Job Overview
We are seeking an organized and proactive Office Manager to oversee the daily operations of our busy general practice clinic. In this dual-focused role, you will ensure our facility runs flawlessly while managing our essential HR, payroll, and administrative workflows. You will play a critical role in supporting our medical team, ensuring regulatory compliance, and delivering an exceptional experience for our patients.
Core Responsibilities Facility & Operations Management
- Clinic Operations: Oversee daily clinic workflows to ensure efficient patient check-ins and minimal wait times.
- Facility Maintenance: Manage clinic maintenance, lease agreements, waste disposal contracts, and equipment servicing.
HR & Payroll Duties
- Payroll Processing: Collect timesheets, calculate hours, and process accurate fortnightly payroll and superannuation.
- Staff Rostering: Coordinate schedules for doctors, nurses, and receptionists to ensure seamless clinic coverage.
- Onboarding & Records: Manage new hire inductions, conduct performance reviews, and maintain private personnel files.
- Supply Inventory: Monitor and order clinical and administrative supplies, keeping budget constraints in mind.
- Compliance & Safety: Maintain strict workplace health, safety, and infection control standards required for healthcare facilities.
- Team Leadership: Supervise, train, and support the medical reception and administrative team.
Required Qualifications & Skills
- Experience: Proven experience as an office manager, ideally within a medical clinic or healthcare setting.
- Software Literacy: Proficiency with GP clinic software (e.g., Medical Director/PracSoft) and payroll tools (e.g., Xero, MYOB).
- Communication: Exceptional interpersonal skills to interact professionally with patients, doctors, and vendors.
- Discretion: Strong understanding of medical confidentiality laws and strict privacy protocols.
Pay: $57,113.08 – $80,000.94 per year
