Full-time Role (Monday to Friday)
We are seeking a positive and enthusiastic Administration Officer to join our Karalee team. The role will support reception, rostering, admissions, and daily operations while working collaboratively with the Facility Manager and wider team.
About the Facility
Overlooking picturesque Smythe Lake, Aegis Karalee includes a host of amenities including lounge areas where residents and guests can mingle in a relaxed and social atmosphere.
The word Karalee is an Aboriginal word meaning "waterhole near grass" which was sourced from the National Library of Australia. The highest standard of care, therapy and allied health services are provided, with particular attention to the individual needs of the resident and their family.
The wings all have dining areas and access to well-maintained gardens and patio areas which gives a homely feel.
As an integral part of the team, you will:

Provide a professional and friendly reception to our residents, families, visitors, and staff.

Create and maintain fortnightly rosters for staff, managing master rosters, daily allocation sheets and offering all shifts out, covering sick calls etc. that meet all service delivery requirements within the facility.

Sick Leave Management, Parental Leave, Shift Swaps, Permanent Shifts.

Undertake essential administrative functions such as rostering, payroll preparation, compliance, and interacting with all staff.

Perform general administrative duties such as filing, archiving, staff onboarding offboarding and other duties as directed by the Facility Manager.

Managing agency staff.

Scheduling of students across the facility during placements.

Assist the Facility Manager and other senior staff with tasks as required.

Requirements of the role

Extensive knowledge of rostering practices and systems and strong problem-solving ability.

Payroll experience preferred but not essential
-
Experience in front-facing administration/reception in a fast-paced, dynamic environment.

Passion for delivering quality customer service and excellent relationship building skills.

High levels of accuracy and data entry skills.

Intermediate computer skills including Microsoft Office suite.

Aged Care Experience desirable but not essential.
