About the Role
This is a busy and varied role that sits at the centre of our operations team. Working closely with field staff, clients, suppliers and management, you will support the day to day coordination of projects and maintenance works while helping to maintain a high level of customer service.
The successful applicant will be organised, able to manage competing priorities and comfortable working in a fast paced environment where no two days are the same.
Key Responsibilities
- Answering incoming phone calls and customer enquiries
- Scheduling and coordinating field staff across maintenance and landscape projects
- Planning and organising daily, weekly and forecast work schedules
- Preparing scopes of work and organising job requirements
- Managing project documentation and administrative tasks
- Monitoring job progress and updating schedules, databases and variations as required
- Ordering materials and coordinating supplier requirements
- Liaising with clients, suppliers, subcontractors and field personnel
- Providing regular job status updates to management
- Supporting the successful delivery of projects and maintenance programs

- Internal systems and processes
- Project scheduling and workflow management
- Budget monitoring and reporting
- Procurement and ordering processes
- Industry specific operational procedures
Skills and Experience

- Strong organisational and time management skills

- Professional and customer focused approach
- Strong computer skills including Microsoft Office
Highly Regarded
- Previous experience in project coordination, scheduling or administration
- Experience within landscaping, construction, maintenance or a related industry
- Understanding of project administration and operational processes
- Experience coordinating field based teams
- ServiceM8, Hubspot and Xero knowledge
