The Department of Energy, Environment and Climate Action (DEECA) is seeking an Executive Support Officer to provide high-quality administrative, coordination and secretariat support to senior executives within the Forest and Fire Assets and Resources Division.
This is an opportunity to join a purpose-driven team that supports Forest Fire Management Victoria (FFMVic) and broader emergency management operations across the state. You will play a key role in supporting executive priorities, coordinating communications, managing governance processes and contributing to the effective operation of a division responsible for critical assets, logistics and resources valued at more than $2 billion.
As an Executive Support Officer, you will provide trusted support to Directors by managing diaries, coordinating meetings, maintaining correspondence and records, supporting reporting and governance activities, and fostering strong relationships across government, industry and operational stakeholders.
About the role
You will bring:
- proven experience providing executive support in complex, fast-paced and sensitive environments
- strong organisational skills with the ability to manage multiple priorities and competing deadlines
- experience supporting business planning, governance and performance reporting activities
- excellent written communication skills, including preparing briefs, correspondence, reports and meeting documentation
- demonstrated stakeholder management skills and the ability to build effective relationships across all levels of an organisation
- exceptional interpersonal skills and the ability to manage confidential and sensitive matters with discretion and professionalism
- advanced proficiency in Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, SharePoint and OneNote
- a commitment to teamwork, continuous improvement, cultural safety and positive workplace culture.
- This role may involve emergency response support activities and requires flexibility to work additional hours, including weekends and public holidays during peak fire seasons when required.

Specialist/Technical Expertise/Qualifications
- Proven successful experience providing executive support to executives in complex, changing priority and, sensitive workplaces
- Proven successful experiences and capabilities using technology platforms associated with the management of the FFAR business
- Proven successful experience supporting business planning, performance reporting and governance.
- Proven stakeholder management experience including but not limited to executives, senior commercial partners and, interagency practitioners
This is an ongoing position. The work location for this position is Kyle Road, Altona North with hybrid work arrangements available.
