Need2Heal is a growing nurse-led organisation providing Hospital in the Home (HITH), community nursing, NDIS, Support at Home, and private nursing services throughout Melbourne. We are passionate about delivering high-quality, patient-centred care and are seeking an organised and proactive Administration & Scheduling Coordinator to support our expanding team.
About the Role
We are looking for a highly organised and customer-focused administrator to assist with the day-to-day coordination of our nursing and support services.
This role offers a flexible hybrid working arrangement, with a combination of work-from-home and office-based work from our Coburg North office.
The successful candidate will play a key role in ensuring the smooth operation of our services by coordinating schedules, communicating with clients and families, managing emails, and supporting payroll and invoicing processes.
Key Responsibilities
- Manage and respond to incoming emails in a professional and timely manner
- Liaise with clients, families, hospitals, support coordinators and healthcare professionals
- Schedule and coordinate nursing and support worker visits
- Manage staff rosters and make adjustments to accommodate changes in client needs
- Enter and maintain accurate client and employee information within company systems
- Assist with payroll processing and timesheet management
- Prepare and process invoices
- Follow up outstanding invoices and payments as required
- Support onboarding of new clients and staff
- Maintain accurate records and documentation
- Provide general administrative support to the Directors and clinical team
About You
To be successful in this role, you will have:
- Previous administration, scheduling or customer service experience
- Strong organisational and time management skills
- Excellent verbal and written communication skills
- Ability to prioritise tasks and manage competing demands
- High level of attention to detail
- Proficiency in Microsoft Office (Outlook, Word, Excel)
- Ability to work independently and use initiative
- Professional and compassionate approach when dealing with clients and families
- Experience in healthcare, community services, NDIS, aged care or nursing services will be highly regarded
