Reporting to the Fleet Operations Manager, this role provides administrative and operational support across fleet, site assets, vehicles, plant and equipment. Fleet Coordinator is responsible for maintaining accurate records, coordinating fleet compliance and vehicle movements, supporting inventory and storage activities, and ensuring asset information remains current, accurate and auditable.
The role also supports the Fleet and Operations teams with purchasing, invoicing, supplier coordination, vehicle onboarding and disposal activities. Working across site and fleet operations, the position contributes to safe, organised and compliant day-to-day operations and may require occasional domestic travel.
About the role:
- Support site operations with the administration and coordination of vehicles, plant, equipment, assets and fleet movements.
- Maintain accurate and up-to-date records for vehicle and asset receivals, storage, movements, releases, transfers, decommissioning and disposal.
- Monitor and coordinate fleet compliance activities in accordance with company policies, operational requirements and legislative obligations.
- Maintain fleet records including registrations, insurance, audits, inspections and other compliance documentation.
- Maintain WMS, inventory and asset management records, ensuring system information is accurate, complete and auditable.
- Assist with stocktakes, asset counts, warehouse inventory checks and reconciliation of system records against physical assets.
- Support vehicle onboarding, fit-outs, allocations, transfers and disposal, including sourcing and tracking fleet parts, equipment and consumables.
- Process, verify and reconcile fleet and site-related invoices, purchase orders, supplier documentation and storage billing information.
- Provide administrative support to Fleet, Operations and site leadership teams, including responding to customer, council, authority, contractor and supplier enquiries.
- Support safe, secure and organised site operations, including storage, housekeeping, access control and operational readiness, with domestic travel as required.
About You
You'll be a confident and engaging leader who enjoys working in a fast-paced operational environment and has a genuine passion for improving fleet performance.
You will also bring:
- Demonstrated experience in fleet, yard and facilities support, transport or operational support, with a minimum of 3 years in a similar role.
- Proven experience in light commercial and heavy vehicle fleets, with a strong focus on safety, compliance and operational performance.
- Basic knowledge of Australian transport legislation, including Heavy Vehicle National Law (HVNL) and Chain of Responsibility (CoR) requirements.
- Strong organisational and problem solving skills.
- Demonstrated ability to manage competing priorities, make sound decisions and deliver results in a fast-paced operational environment.
- Driven multi-tasker who enjoys variety
- Qualifications in logistics, transport, fleet management or business are desirable.
