Role Description This is a full-time, on-site Admin/Office Support role based on St Kilda Rd, Melbourne, VIC. The role involves providing day-to-day administrative and clerical support to advisers and team members, including handling incoming calls, managing correspondence, and maintaining client records. Responsibilities include operating office equipment, preparing and filing documents, scheduling appointments and meetings, and assisting with data entry and basic report preparation. The Admin/Office Support team member will help ensure the smooth running of the office by coordinating supplies, supporting compliance-related documentation, and assisting with reception duties as needed. Collaboration with colleagues and maintaining a professional, client-focused approach are central to this position.
Qualifications
- Experience within a financial planning firm preferred, but not essential. Ideally, at least 2 to 3 years’ experience (in similar role).
- Excellent communication skills and telephone manner essential.
- Excellent organisational skills and ability to prioritise daily work tasks.
- Strong I.T skills will be required. Must be proficient in Microsoft Office 365, particularly Word, Excel, Outlook and SharePoint.
- Previous Xplan experience will be an advantage.
- Excellent attention to detail and problem-solving skills.
- Excellent time management skills.
- Ability to work independently and as a team player.
- Strong work ethic is a must, willingness to learn.
Duties will include, but not limited to:
Office Support
- Answering and directing all calls.
- Liaising with, and greeting clients on arrival, co-ordinating meeting rooms.
- Adviser diary management and appointment scheduling.
- Responding to ad hoc requests from clients and service providers in a professional and timely manner.
- Distributing incoming mail and posting outgoing mail.
- Responsible for ensuring smooth running of the office, including management of office supplies and equipment.
- Maintaining a professional and well-presented working environment with special attention to reception, meeting rooms and kitchen areas.
Administration
- Maintaining CRM (Xplan) to ensure our client database is accurate and complete.
- Assisting with preparing client review packs and documentation in readiness for meetings.
- Processing daily client correspondence.
- Assisting with preparing and lodging applications.
- Assisting with bulk client communications.
- Assisting with annual Fee Disclosure Statement obligations.
- General administrative duties including, filing and scanning.
- Provide general administrative support to Advisers and wider team.
Pay: $57,500.00 – $62,500.00 per year
