About the Role
AlertForce is seeking a proactive, organised and computer-confident Student Support & Administration Assistant to join our growing team at our Mitchell training centre.
In this casual position, you will support the smooth day-to-day operation of the training venue while providing high-quality assistance to students and trainers. As one of the first points of contact at the centre, you will play an important role in ensuring every participant has a professional, welcoming and positive learning experience.
The role includes a significant amount of data entry and administration, including maintaining student records, entering assessment results and issuing certificates. Accuracy, attention to detail and confidence using computer systems are therefore essential.
You will also assist students with online enrolments, account logins and e-learning access. You must be comfortable using different computer systems and able to patiently guide students who may have limited computer skills.
Early morning availability is essential, as the successful applicant will assist with opening and preparing the venue before scheduled training courses.
What You’ll Be Doing
- Opening and preparing the training venue each morning, ensuring training rooms, equipment and resources are ready for scheduled courses.
- Greeting students and trainers and providing friendly, professional assistance throughout the day.
- Assisting students with online enrolments, account setup, password resets, course logins and general e-learning access issues.
- Providing clear and patient guidance to students who may be unfamiliar or uncomfortable with online learning systems.
- Completing accurate and timely data entry across student management systems, databases and internal records.
- Entering and updating student enrolment information, attendance records, assessment outcomes and course completion details.
- Processing completed assessments and checking that all required documentation has been received.
- Issuing certificates and statements of attainment accurately and within required timeframes.
- Checking student details and training records before certificates are issued.
- Maintaining accurate electronic and physical student files in accordance with RTO compliance requirements.
- Providing administrative support for course scheduling, student enrolments and training records.
- Responding to telephone, email and in-person enquiries from students, clients and trainers.
- Supporting trainers with room setup, printing, training materials and other daily requirements.
- Uploading, scanning, filing and maintaining training and assessment documentation.
- Monitoring training materials, stationery and equipment stock levels.
- Maintaining the professional presentation and organisation of the training venue.
- Assisting with other administration and student support duties as required.
What We’re Looking For
- Strong computer skills and confidence learning new systems and software.
- Fast and accurate data-entry skills.
- High attention to detail, particularly when entering student information and issuing certificates.
- Confidence using Microsoft Office, email, databases and online learning platforms.
- Experience assisting people with account logins, online platforms or basic technical issues.
- A patient and supportive approach when assisting students with varying levels of computer literacy.
- Experience in administration, data entry, student services, customer service or RTO operations is preferred.
- Experience using a student management system or issuing nationally recognised training certificates would be highly regarded.
- Strong interpersonal and communication skills with a professional, customer-focused approach.
- Excellent organisational and time-management skills.
- Ability to manage multiple priorities while maintaining accurate records.
- Ability to work independently, take initiative and solve routine problems.
- Reliability, punctuality and flexibility.
- Availability for early morning starts.
