Rugby World Cup Australia is seeking an experienced and passionate Volunteer Coordinator to join the team for Rugby World Cup 2027. Based in Sydney and reporting to the Senior Volunteer Manager, this role will play a pivotal part within the Workforce team, helping bring a large-scale, high-impact volunteer program to life. You’ll be central to delivering a seamless and engaging volunteer journey from recruitment and onboarding through to tournament-time operations, ensuring thousands of volunteers feel informed, supported, and inspired every step of the way.
This is a fast-paced, hands-on role that blends coordination, communication, and engagement. You’ll lead volunteer communications, support workforce planning and operations, and deliver initiatives that enhance the overall volunteer experience. Working closely with internal teams and venue stakeholders, you’ll contribute to the successful delivery of the program across all stages, with opportunities to take on increased responsibility as the tournament approaches. We’re looking for a highly organised, people-focused individual who thrives under pressure, brings a proactive and positive mindset, and is passionate about creating exceptional experiences for others.
Key responsibilities include but are not limited to:
- Support end-to-end workforce planning, including volunteer recruitment, onboarding, headcount tracking, scheduling, training and tournament-time operations
- Lead all volunteer communications, acting as the primary contact for queries while producing newsletters, FAQs, and key updates
- Deliver volunteer engagement initiatives and events, both pre-tournament and across venues, to enhance the overall experience
- Manage application tracking and reporting, supporting screening processes and generating insights into key volunteer program deliverables
- Assist in developing training materials and workforce documentation, including policies, procedures, and volunteer handbooks
- Collaborate closely with venue teams and internal stakeholders to ensure consistent and effective workforce delivery across all locations
- Contribute to broader program initiatives, including Reward & Recognition, uniform planning, data management, and general workforce coordination support
Qualifications & Experience
- Minimum 1 - 2years’ experience in a similar administrator or customer service role. Events, workforce or sports environment experience is desirable.
- Strong written and verbal communication skills, with the ability to build relationships across diverse groups and confidently present to large audiences
- Proven ability to manage high volumes of stakeholder or customer interactions, responding efficiently and professionally
- Demonstrated capability to work independently, using initiative and taking ownership of tasks and outcomes
- A positive, flexible, and solutions-focused mindset, with a strong commitment to delivery
- Ability to perform under pressure in fast-paced environments, consistently meeting deadlines and managing competing priorities
- Comfortable using or quickly learning systems and tools, including workforce platforms and Microsoft Office (particularly Excel and PowerPoint)
- Proactive, adaptable and self-motivated, thriving in high-pressure environments and excited by the opportunity to be part of a major global event
- Flexibility to travel and work evenings/weekends as required
