The Facilities Manager is responsible for the day-to-day management and administration of all school grounds and building facilities. The Facilities Manager works closely with the Leadership Team to ensure that all work is completed to best practice industry standards across all spaces and the school¿s assets are regularly monitored and managed.
An important aspect of the role is ensuring the school meets all compliance requirements, including but not limited to maintaining a safe working environment under Occupational Health and Safety legislation, essential services legislation and working with children legislation in relation to contractors.
Staff and Contractor Management:

Coordinate and manage the workload of the Maintenance Team ensuring clear instructions and standard of work is maintained.

Ensure all Maintenance staff have completed all OHS and relevant training to ensure a safe work environment.

Coordinating Contractors to ensure all documents are current re OHS and works are completed within budget and a timely manner.

Negotiate service agreements in conjunction with Principal/Business manager according to DET protocols.

Liaise with Contracts before, during and after works completed to ensure expectations are meet and to alleviate issues before they become a bigger issue.
Facilities, Grounds, OHS, and Emergency Management:

Ensure all Routine and Annual Maintenance tasks are completed on time as per AIMS.

Ensure all documents are uploaded onto AIMS after completion and follow up any required rectifications.

Work alongside Leadership in pre planning of School Capital works, which may include building works, ground works or general upgrade maintenance.

Work alongside VSBA on any Capital Works. Attend meetings, walkthroughs and end of project defect period reviews.

Ensure and monitor Maintenance team have completed all termly facility audits. Follow up any rectifications and ensure they are completed in a timely manner.

Liaise with cleaners at both school level and Supervisors to ensure School is cleaned to high expectations. Meet termly for periodical inspections. Report any dissatisfaction to Supervisor immediately to ensure corrections are made. Update cleaners of school functions or late finishes.

Liaise with Contractors throughout works to ensure they are keeping school a safe work environment for both themselves, DET staff and students.

Ensure there is a security plan for unlocking the school daily especially if staff absent.

Update Principal/Business manager regularly on works around school and discuss any issues arising.

Ensure maintenance staff are responding to ticketing system punctually.

Ensure OHS issues are attended to as a priority.

Work hands on alongside the Maintenance team as required to ensure school grounds and buildings are well maintained and presented.

Support and manage minor works and refurbishment projects.

Contribute to the ongoing development and improvement of school facilities and grounds.

Comply with WorkSafe and Department Standards regarding Asbestos management including audits and involving Make Safe if required.

Maintain OHS Training Register including Warden Training on Edu Safe

Comply with WorkSafe and Department Standards ensuring all OH&S policies and Material Data Sheets are up to date.

Ensure Department OHS Calendar tasks have been completed as per schedule.

Respond to an Emergency situation in an appropriate manner and assist appropriately to your level of experience.

Assist Leadership with implementation and administration of Evacuation and Shelter in Place Drills. Update documents on EMS Portal

Maintain Evacuation equipment (folders, bags) check Termly

Monitor classroom Evacuation posters are current and displayed correctly.
Qualifications and Experience
Relevant practical management experience in a maintenance environment

Monash Special Developmental School is a government school located in the North Eastern Victorian Region in the City of Monash. Monash SDS provides an educational program for children with a moderate to profound intellectual disability and multiple disabilities including autism spectrum disorder from the age of 2.8 to 18 years old. Currently student enrolments numbers are around 155. It has been on the current site for 11 years in a well-resourced purpose built facility. In addition to the general classrooms the school also features specialist areas, outdoor learning environments, a multi-purpose gym, a hydrotherapy complex, a bike path and specialised indoor and outdoor sensory areas.
Monash SDS is platinum accredited in School Wide Positive Behaviour Support (SWPBS), AMAZE accredited and e-Smart accredited.
Students across the school at Monash SDS are taught using the Victorian Curriculum. Curriculum based individual learning plans are developed for each student and are taught using a variety of high impact teaching strategies and specialised curriculum supports including the STAR (Strategies for Teaching Based on Autism Research) and Links Program. The STAR and Links Program is research and evidence based and uses the principles of Applied Behaviour Analysis. It provides a framework and the necessary tools to teach the Victorian Curriculum through the implementation of Discrete Trial Training (DT), Pivotal Response Training (PRT) and Functional Routines instruction. A school wide Structured Teaching Framework provides every student with a highly visually based structured environment that promotes an understanding of schedules, activities and expectations.
