About the role
We’re looking for a detail‑oriented, organised and patient‑focused Preadmissions Assistant to join our Hospital Preadmissions team on a casual basis. Working across both our Toorak Gardens and Stepney sites, this role supports the department in an administrative capacity, ensuring all required documentation is accurate, complete and prepared so patients and the hospital are ready for upcoming procedures. The Preadmissions Department operates Monday to Friday, day shifts only, and as a casual employee you will be called upon as operational needs require, so reliable weekday availability is essential.
This is an administrative role focused on documentation, verification and coordination. It involves processing admission and consent forms, verifying information with VMO rooms and patients, preparing theatre lists, supporting clinical staff with required documentation, triaging and resolving enquiries, and maintaining the accuracy, integrity and confidentiality of patient records - it does not involve greeting or admitting patients to the hospital.
To succeed in this role, you’ll bring previous administrative experience, ideally within a healthcare setting, with confidence managing high‑volume, confidential information and performing accurate data entry. You’ll be comfortable navigating electronic systems, preferably with exposure to PiMS, and have a sound understanding of medical terminology and the ability to interpret common terms used in preadmission documentation. Strong attention to detail, excellent communication skills and the ability to work with consistency and professionalism are essential.
If you enjoy supporting patients and clinical teams, take pride in delivering high‑quality, accurate and confidential administrative work, and value being part of a collaborative team that contributes to a smooth, safe and positive hospital experience, we’d love to hear from you.
