Project Administrator
Eire Total Access is currently seeking a motivated, experienced and highly organised Project Administrator to join the business on a full-time basis.
Reporting directly to the Operations Manager, this role will support the delivery of mining, industrial, maintenance and construction projects by providing high-level administrative, document control and project coordination support.
To be considered for this role, you will be a team player, highly motivated, proactive and capable of working in a fast-paced project environment while managing multiple priorities and deadlines.
Key Responsibilities
- Provide administrative support to Project Managers and operational teams across multiple projects.
- Coordinate project documentation including contracts, drawings, site documentation, correspondence and project registers.
- Maintain document control systems and ensure project documentation is accurate, current and compliant.
- Assist with project planning, scheduling and resource coordination activities.
- Prepare project reports, meeting minutes, presentations and project status updates.
- Monitor project milestones, deliverables and reporting deadlines.
- Support procurement activities including purchase orders, supplier engagement and subcontractor onboarding.
- Coordinate workforce mobilisation requirements including inductions, training records and site access documentation.
- Assist with timesheet processing, labour allocation and project cost tracking.
- Liaise with clients, suppliers, subcontractors and internal stakeholders to support project delivery.
- Support tender submissions, quotations and project start-up activities as required.
- Maintain project databases and management systems ensuring information is accurate and up to date.
- Assist with HSEQ administration and compliance requirements.
- Participate in project meetings and provide administrative support to project teams.
- Identify opportunities to improve project administration processes and efficiencies.
To Be Successful in This Role You Will Have
- Minimum 2 years' experience in a Project Administrator, Project Coordinator or similar role.
- Certificate IV in Business Administration, Project Management, Business Management or a related discipline, or equivalent industry experience.
- Demonstrated experience supporting projects within mining, construction, engineering, maintenance or industrial environments.
- Excellent organisational and time management skills with the ability to manage competing priorities.
- Strong document control and administrative skills.
- Advanced Microsoft Office skills, particularly Word, Excel and Outlook.
- Excellent written and verbal communication skills.
- High attention to detail and strong problem-solving ability.
- Ability to work effectively both independently and as part of a team.
- Current Australian Driver's Licence.
Desirable
- Diploma or higher qualification in Business, Project Management or a related field.
- Previous experience within the mining, resources or construction sectors.
- Experience using project management, ERP or workforce management systems.
- Construction Industry White Card.
- National Police Clearance.

Pay: $70,000.00 – $90,000.00 per year
