Accounting Firm | Full-Time | Sydney
We are seeking a highly organised and professional Client Services Administrator to join a well-established accounting firm and provide administrative and client support across the practice.
This is an excellent opportunity for someone who enjoys working with clients, managing multiple priorities and supporting accountants in a professional services environment. You will play an important role in ensuring clients receive a high level of service while helping the wider team operate efficiently.
The Role
Working closely with accountants, managers and partners, your responsibilities will include:
- Acting as a key point of contact for clients and responding to general enquiries
- Managing client correspondence via phone and email
- Coordinating new client onboarding and maintaining accurate client records
- Preparing and issuing engagement letters and other client documentation
- Preparing documents and correspondence for accountants and partners
- Liaising with the Australian Taxation Office (ATO) on behalf of clients
- Managing ATO correspondence, notices and client requests
- Updating client details and registrations through the ATO Online Services for Agents
- Assisting with ABN, GST, PAYG and other taxation registrations
- Monitoring ATO lodgement obligations and upcoming deadlines
- Following up outstanding tax returns, BAS, IAS and other compliance requirements
- Assisting with payment arrangements, account enquiries and ATO administrative matters
- Preparing and maintaining client authorities and agent nomination records
- Assisting with ASIC corporate secretarial matters and maintaining company records
- Preparing and lodging ASIC forms and annual company statements
- Liaising with ASIC and other external organisations as required
- Monitoring outstanding client documentation and following up clients for information
- Assisting with tax return, BAS and financial statement administration
- Managing electronic signing and document distribution
- Updating client information within practice management and accounting systems
- Coordinating appointments, meetings and calendars where required
- Maintaining digital files and ensuring documentation is accurately recorded
- Assisting with billing, invoicing and debtor follow-up
- Supporting workflow management and monitoring upcoming deadlines
- Providing general administrative support to accountants and the broader office
- Assisting with ad hoc projects and continuous improvement initiatives
About You
To be successful in this role, you will ideally have:
- Previous administration, client services or office support experience
- Experience within an accounting, financial services or professional services environment is highly regarded
- Previous exposure to ATO Online Services for Agents and ASIC administration would be advantageous
- Strong written and verbal communication skills
- Excellent attention to detail and organisational skills
- A professional and confident approach when dealing with clients
- The ability to manage competing priorities and meet deadlines
- Strong computer literacy and confidence learning new systems
- Good working knowledge of Microsoft Office, particularly Outlook, Word and Excel
- Experience with systems such as Xero, Xero Practice Manager, BGL, NowInfinity, MYOB or FYI would be advantageous
- A proactive attitude and willingness to assist wherever needed
- The ability to handle confidential client information with discretion
