The City of Melville is seeking a highly organised and proactive Executive Assistant to support our Director Legal, Governance & Risk. This is a unique opportunity to work alongside senior leaders, providing high-level executive support within a fast-paced, confidential and politically sensitive environment.
As a trusted partner to the Director, you'll play a key role in ensuring the smooth operation of the Directorate. From coordinating executive priorities and preparing Council reports to managing strategic projects and building strong relationships across the organisation, you'll be an integral part of delivering high-quality outcomes for our community.
Location: City of Melville Civic Centre
Salary: $90,561.18 to $104,815.05 p.a. + 12% Super
Employment Type: Permanent, Full Time
What You’ll Be Doing
- Provide high-level executive support to the Director Legal, Governance & Risk, managing competing priorities with professionalism and discretion
- Coordinate meetings, briefings, agendas, minutes and follow-up actions across the Directorate
- Prepare and coordinate Council reports, Officer Briefing Notes, presentations and executive correspondence
- Manage the Director's schedule, coordinate key meetings and act as the primary point of contact for internal and external stakeholders
- Work closely with the CEO's Office, Executive Leadership Team, Mayor, Elected Members and Business Unit Managers to support organisational priorities
- Coordinate Directorate reporting, strategic planning activities and governance processes
- Support the management of the City's Legal Services Management Framework, including budget administration, legal service provider engagement and reporting
- Coordinate Directorate projects, events and initiatives while identifying opportunities to improve systems and processes
What We’re Looking For
- A current National Police Clearance or willingness to obtain
- At least five years' experience supporting senior executives in a complex organisation
- Exceptional organisational skills with the ability to manage multiple priorities and competing deadlines
- Excellent written and verbal communication skills, with confidence preparing professional correspondence, reports and presentations
- Strong attention to detail and sound judgement when handling confidential and sensitive information
- A proactive approach, anticipating needs and finding practical solutions
- Highly developed stakeholder management skills, with the ability to build effective relationships across all levels of an organisation
- Advanced Microsoft Office skills and confidence using corporate systems
- The ability to work independently while collaborating effectively within a team
Highly regarded:
- Qualifications in Business Administration, Management or a related discipline
- Experience within a legal, governance or local government environment
- Knowledge of budget administration and governance processes
