Overview of the Role:
A Property Services Manager is responsible for overseeing daily property operations including maintenance, cleaning, security, and vendor management while leading teams of staff and contractors to ensure optimal building performance and client satisfaction. Key responsibilities include utilising JLL's technology platforms and data analytics to deliver efficient, cost-effective property services, managing budgets, ensuring regulatory compliance, serving as the primary client contact for service issues, conducting property inspections, and implementing preventive maintenance programs. This role requires strong leadership skills, technical building systems knowledge, and the ability to balance operational efficiency with exceptional customer service delivery across commercial real estate portfolios.
Duties include but are not limited to:
Compliance and Certification
Ensure building & employee compliance with all relevant statutory authorities and good engineering practices in relation to maintenance of the property structure, façade, fixtures, fittings, finishes and services. This additionally requires adherence with and understanding of Lendlease GMR performance standards.
Ensuring certification is obtained from relevant contractors and consultants for all essential services and the timely preparation of the annual Fire Safety Statement or other relevant documentation as stipulated by the local authority.
Ensuring compliance with Environmental and Occupational Health and Safety requirements including contractor induction, the preparation of site-specific risk management plans and safe work method statements which comply with Lendlease GMRs.
Conducting a periodic review of all work practices to ensure that workplace environment conditions comply with Occupational Health & Safety legislation to efficiently implement changes.

Maintenance and Risk Management
Co-ordinate effective and efficient management due diligence of all property services and other works required to be carried out within the properties including prerequisites for access & management.
Undertake periodic inspections of the building and plant to determine the extent, priority and criticality of any repair works required. Whilst undertaking this inspection safety aspects are a priority.

Obtain WHS Management plans from all site permanent service providers, these are to include work place risk assessments (annually reviewed by the provider) including provider annual safety inductions & their verification via CM3 / World check etc.
Ongoing management & supervision of all specialist contractors to ensure they comply with their contract terms and conditions and nominated scope of works including GMR compliance.
Continual development and maintenance of a property due diligence program including reporting any works required to the relevant team members and put control measures in place to prevent incident.
Implementation and maintenance of the JLL computerised Planned Preventative Maintenance, TSR and Work Order Systems and other information databases.
Implementation and maintenance of the JLL computerised Planned Preventative Maintenance, TSR, Work Order Systems, risk & compliance platforms (Edge, iComply, Prism) and other information databases.
Procurement of materials, replacement parts and other such building requirements to ensure minimum disruption to tenants.
Identification and implementation of energy, water and waste conservation initiatives.
Active involvement in all property and JLL Sustainability program initiatives.
Be actively involved in the preparation of tender and contract documentation, including GMRs, performance standards, High risk works Safety in Design eligibility criteria, concurrently whilst obtaining tender pricing for all works and services on the property as required by the Commercial Property Services Agreement and in accordance with established requirements.
Assist with the Management of tenant refurbishment process ensuring all necessary local authority, health and safety approvals and certificates have been provided, full commissioning and handover information is performed, and all Jones Lang LaSalle and SafeWork / WorkCover procedures are adhered to.
Budgets and Reports
Prepare annual property operations and capital works budgets and monitor and update budgets on a quarterly basis.
Provide input into the monthly reports for the operational aspects of the property.
Ensure that all information, forms, and statistics are gathered, and the information disseminated to the appropriate managers for review and any remedial action highlighted is carried out.
Take responsibility for performance of the site operations team in all auditing and management review obligations.

The ability to empathise with tenant needs and a good customer service ethic is essential.
A demonstrated ability to prioritise work within tight operational and financial deadlines.
Possess a flexible adaptiveness for process, procedure, and preference of the client and JLL
A positive approach to meeting client’s needs whilst managing tenant expectations.
An ability to comfortably communicate with people at all levels.
Proficient in MS Word, Excel, and Outlook.
Open mindfulness to learning new web-based platforms to continuously improve service delivery
Tertiary qualifications are desirable, but a Trade Certificate will be favourably considered.
Minimum 5 years' experience as a Facilities/Operations Manager in A Grade or Premium Assets.
