Onboarding Administrator

At KompleteCare, we're passionate about delivering exceptional support to older Australians and people living with disability. We're looking for a friendly, organised and compassionate Onboarding Administrator to become the welcoming first point of contact for our Support at Home and NDIS clients.
This is an office-based role in Kilburn, SA, where you'll guide new clients through the onboarding process, coordinate appointments, support referrals, and ensure every client receives a professional, positive experience from their very first interaction with us. While the role is primarily administrative, there may be occasional opportunities to attend client homes or community settings to provide administrative, service-related support or networking support when required.
About the Role
As our Onboarding Administrator, you'll play a vital role in ensuring new clients, their families and support networks experience a smooth and seamless transition into our services. You'll work closely with internal teams, care staff, support coordinators and external providers to coordinate services and obtain accurate client information.
Key Responsibilities
- Be the first point of contact for new and existing clients, families, carers and service providers.
- Answer inbound calls and make outbound calls to clients and stakeholders.
- Coordinate, book, confirm and reschedule in-home onboarding visits for our Onboarding Officers.
- Conduct follow-up calls after onboarding and service interactions.
- Support client intake, referrals and onboarding processes.
- Maintain accurate client records, notes and appointment details.
- Liaise with allied health staff, care workers, support coordinators and external providers to ensure seamless service onboarding.
- Assist with NDIS and aged care documentation and administrative processes.
- Prepare client correspondence, emails and information packs.
- Provide exceptional customer service while maintaining confidentiality and professionalism.
- Occasionally attend client homes or community settings where administrative or service support is required.
- When required provide support for networking & promotional events.
About You
You'll be someone who genuinely enjoys helping people and thrives in a busy administrative environment. You're organised, proactive and confident communicating with a wide range of people, while ensuring every client feels respected, supported and valued.
We're looking for someone with:
- Previous experience in administration, reception, scheduling or customer service.
- Experience within aged care, disability, NDIS, health or community services (highly regarded but not necessary).
- Excellent telephone communication skills and confidence speaking with clients.
- Strong organisational skills with exceptional attention to detail.
- The ability to manage multiple priorities while following through on tasks.
- Strong written communication and computer skills.
- Experience using client management systems or appointment scheduling software (desirable but not necessary).
- An understanding of client-centered care and the importance of dignity, choice and independence.
- The ability to maintain confidentiality and manage sensitive information appropriately.

To be successful in this role, you'll have (or be willing to obtain):
- National Police Check
- NDIS Worker Screening Check
- Working with Children Check
- Current Australian Driver's Licence
- Full Australian working rights
- An understanding of privacy, confidentiality and duty of care obligations

Pay: $36.22 per hour
Licence/Certification:
