Office Receptionist – Full Time
We are a well-established and growing allied health practice seeking an experienced and organised Office Manager / Medical Administration Coordinator to join our supportive multidisciplinary team on a permanent full-time basis.
Our team consists of 4 Dietitians and a Credentialed Diabetes Educator working across multiple locations in Southern Sydney. This role will primarily be based in our Sutherland office within a busy medical specialist environment, with occasional shifts at Kogarah. We support a diverse client base ranging from pregnant mothers to elderly patients and work closely with a strong referral network including GPs, specialists, surgeons, and allied health professionals.
This is a varied and hands-on role suited to someone who thrives in a fast-paced healthcare setting, enjoys supporting both patients and clinicians, and takes pride in creating efficient systems and smooth day-to-day operations.
About the Role
As the central support person within the practice, you will play a key role in ensuring the seamless operation of the clinic while delivering a high standard of patient care and administrative support.
Key Responsibilities
- Welcoming patients and providing a professional and compassionate first point of contact
- Managing phone calls, emails, appointments, and clinician schedules across multiple locations
- Coordinating complex diaries and supporting daily clinic operations
- Processing billings and claims including Medicare, DVA, NDIS, WorkCover, and private health
- Managing accounts administration, reporting, and outstanding payments
- Maintaining accurate patient records and database systems with strict confidentiality
- Supporting clinicians with administrative and operational tasks
- Updating website content and clinic resources where required
Skills & Experience
- Previous experience in medical reception, practice management, or healthcare administration
- Strong organisational skills with the ability to multitask and prioritise effectively
- Excellent written and verbal communication skills
- Professional, friendly, and empathetic approach to patient care
- High attention to detail and accuracy
- Experience with Medicare, NDIS, DVA, and private billing processes
- Confidence working independently while contributing to a collaborative team culture
- Ability to work independently and think critially is a non-negotiable.
- Advanced proficiency in Microsoft Office Suite
- Experience using practice management software (Halaxy experience highly regarded)
- Experience with Squarespace, Canva, social media, or website updates is advantageous

Pay: From $65,000.00 per year
