About the role
Working closely with the Directors and professional staff, you will provide administrative and client service support across our accounting, financial planning and mortgage broking divisions. You will play an important role in ensuring clients receive an exceptional experience while helping the practice operate efficiently and remain compliant with its regulatory obligations.
Key responsibilities
- Prepare and manage client engagement letters and engagement renewals, including invoices.
- Coordinate onboarding of new clients across the business.
- Support compliance processes, including AUSTRAC and AML record-keeping requirements where required.
- Assist in coordinating the notice of assessment, e sign and lodgement program with staff.
- Manage workflow and records relating to outstanding forms, engagement acceptances and client documentation, including billings and lodgments.
- Assist in coordinating client appointments, review meetings and diary management for senior staff.
- Organise follow-up actions arising from client meetings.
- Assist with completion of client fact finds, individual tax return input and collection of preliminary information as required by senior staff.
- Prepare advisers for meetings by ensuring documentation is complete and organized for quick turnaround (along with relevant file notes).
- Coordinate implementation paperwork and provider follow-up under manager direction after advice / lending has been approved.
- Assist Senior Staff in review, management and follow up of debtors, WIP and associated invoicing.
- Assist with ASIC annual reviews and changes for clients.
- Ensure the office remains organised and presentable.
- Identify improved processes and implement them in the office environment.
About you:
- Demonstrated initiative and a drive to deliver key outcomes and follow up for results.
- The ability to follow items up without prompting.
- Previous administration, client services or professional office experience.
- Excellent organisational and time-management skills.
- Strong written and verbal communication skills.
- High attention to detail and accuracy.
- Ability to manage multiple priorities and deadlines.
- Proficiency in Microsoft Outlook, Word, Excel and Teams.
- A positive, proactive and client-focused approach.

Given the nature of the role, it will be office based in the first instance and require Australia work rights.
Pay: $78,000.00 – $90,000.00 per year
