Primary objective
The Data Systems Manager leads a small team to oversee student administration systems and implements system enhancements to uphold
data integrity and meet ongoing school and legislative requirements. They are responsible for ensuring that students from all home schools
are enrolled at Northern Territory School of Distance Education (NTSDE) and are compliant with departmental requirements. They are
responsible for maintaining the integrity and currency of student data where student transience is a significant complexity. In addition to
the home school students, they also provide the same service for students who are directly enrolled with NTSDE.
Context statement
NTSDE supports and delivers a range of educational services to students’ resident in the Northern Territory or temporarily living interstate
or overseas. NTSDE collaborates with home schools, supporting educators to deliver high quality, innovative and flexible senior secondary
online programs. School staff must be prepared to travel, use advanced online technologies, and work in both online and face-to-face
modes.
Key duties and responsibilities
1 Manage the data systems team, provide leadership and expert advice on ongoing enhancements to student administration systems,
including complex integration features with timetabling software, vocational education systems, and senior secondary certificate
systems, to meet school administration and teaching requirements.
2 Assist in development and analysis of functional system specifications, prioritising stakeholder requirements to ensure comprehensive
solutions that meet school operational needs and to inform school planning.
3 Manage student administration systems including data integrity, processes for the team, act as the escalation point for issues, develop
and support training of student administration systems ensuring compliance to data quality standards and departmental policies and
procedures.
4 Export data from SAMS, TTS, Compass, SAIS and eDash as an excel format to analyse data and share insights and compare accuracy
and integrity of data between systems. Generate exports from SAMS and import into SOL for Stage 1 and Stage 2 enrolments.
Generate weekly reports from BIC to check and correct student data before validation 8 times a year as a legal requirement which is
also utilised for funding purposes. Generate Age Grade Census student and parent/guardian data reports from BIC for school funding
purposes.
5 Identify opportunities to innovate system improvements through efficiencies.
6 Establish and improve in-house processes to ensure a high level of data integrity is maintained before set deadlines.
Selection criteria
Essential
1 Proven high level leadership and management skills with the ability to provide effective systems problem solutions and negotiate with
influence with school staff and other schools and stakeholders.
2 Highly developed experience in systems functionalities with a focus on appropriate use of student administration systems and its
integration with related systems such as timetabling, vocational education, senior secondary certificate systems.
3 High level proficiency in coordination and administration of student administration systems including data integrity, systems
integration, and training of staff members.
4 Proven ability to successfully lead and manage a small team and interact effectively with people from diverse backgrounds.
5 Proven ability to think strategically to prioritise workload, attention to detail and accuracy and meet strict deadlines.
Desirable
1 Experience working in an online school environment.
