About the Role
We are seeking a highly skilled and motivated Office Manager to join our team. This role is pivotal in ensuring smooth administrative operations and supporting our growing team.
Key Duties and Responsibilities may include but are not limited to:
- Developing, implementing and updating office policies and procedures including handbooks for the software used.
- Creation of dive and snorkel manifests, including assignment of staff duties, co-ordinating vehicles to pick up divers and equipment, and ensuring correct dive equipment is prepared and supplied.
- Oversight of office staff and interns, including roster creation, performance monitoring, and assignment of special tasks.
- Managing records, accounts and administrative systems of the office pertaining to the dive shop and hostel using various specialty programmes including SSI, Rezdy, Little Hotelier, Square POS, Deputy and Xero.
- Communicating and coordinating with various businesses, suppliers and groups, including Rezdy, Square, Little Hotelier, Sealink, JJ Richards, Woolworths and Moco to enable necessary business functions such as trash collection, ferry bookings, and equipment repair.
- Promote a safe and healthy workplace, ensuring compliance with WHS regulations and relevant laws.
- Ensuring compliance with necessary health and safety regulations concerning up-to-date accreditation and CPR, first aid, and oxygen administration certification.
- Ensuring staff and customers comply with government legislation and policies around diving, including possession of mandatory dive equipment, valid dive certifications, and compliance with vehicle permits.
- Maintaining contact with Marine Parks Authority and submitting quarterly reports to maintain compliance with Marine Parks Permit requirements.
- Coordinating personnel activities such as hiring, performance management, payroll, and leave.
Skills & Qualifications:
- At least 1–2 years’ experience in an office management or administrative leadership role
- Strong leadership and team management skills
- Excellent communication, organizational, and problem-solving abilities
- Experience in office administration, compliance, and record-keeping
- Knowledge of HR functions, payroll processes, and workplace regulations
- Proficiency in Microsoft Office
- Experience with SSI, Rezdy, Little Hotelier, Square POS, Deputy and Xero is highly desirable
- Scuba diving experience is highly desirable
