As a Senior Executive Services Advisor and Departmental Liaison Officer you will:
Provide an efficient and effective administrative linkage between the department and the Minister's Office to ensure the provision and flow of high quality, accurate and relevant information, providing support to a high-volume electronic mailbox.
Manage and coordinate ministerial and Director-General meetings, events, travel coordination and deputation briefs. Including drafting itineraries, liaising with relevant stakeholders and coordinating briefing materials across all departmental portfolios.
Proactively plan and manage departmental events, community forums, Ministerial Councils/Committee Meetings and associated briefings, ensuring timely approvals.
Liaise with other government departments to guide and coordinate responses for meetings and travel ensuring a whole-of-government/department focus.
Accurately interpret and facilitate Ministerial Office and Director-General requests to assist the department in developing appropriate and timely responses, including managing confidential and sensitive issues with discretion and professionalism.
Analyse correspondence, briefings and executive documents to ensure they meet the needs of the Minister's Office and comply with department procedures and policies.
Support the Principal Departmental Liaison Officers and Senior Executive Officers in providing high level assistance to clients making inquiries or complaints about sensitive and confidential departmental issues.
Develop and maintain positive working relationships with ministerial staff, departmental executives, key officers, and stakeholders to ensure effective integration, communication, collaboration, coordination and liaison occurs.
Contribute to the development of a culture of client service, excellence and continuous improvement.
Assist the Executive Services Manager and broader team with ad hoc tasks including review of systems and procedures, quality assurance, records management and any other core business functions.
