Primary objective
Responsible for the provision of administrative and receptionist’s duties, act as the primary point of contact for all enquiries
and support the activities of other team members.
Key duties and responsibilities
1. Provide high-level of confidential administrative, clerical support to the Director of Outreach and Managers, maintaining
quality control and timeliness departmental correspondence.
2. Provide administrative support in the preparation of invoicing and document preparation using corporate systems such
as EIMS, TRIPSs, QBT and TRIM.
3. Maintain filing systems, obtain quotations and organise ordering of essential office supplies and equipment.
4. Contribute to the agenda preparation, attend staff meetings, taking minutes as required, monitoring and follow up on
any meeting initiatives.
5. Coordinate and attend to matters coming through the office expeditiously and within required time frames.
6. Responsible for the management and acquittal of corporate credit card transactions as per procurement policies and
procedures including managing internal staff travel.
7. Follow defined service quality standards, work health and safety policies and procedures relating to the work being
undertaken in order to ensure high quality, safe services and workplaces.
Selection criteria
Essential
1. Demonstrated administrative, organisational and time management skills and the ability to organise and establish work
priorities and meet deadlines.
2. High level of interpersonal, oral and written communication skills including the ability to work within a team
environment.
3. High level of attention to detail in order to prepare and process correspondence, reports and other business documents.
4. Sound knowledge of word processing and computer program, particularly data management and software applications
such as Microsoft Office, Outlook, Power Point, Excel and Vison.
5. High degree of professional integrity and ability to maintain confidentiality.
6. NT manual drivers licence or ability to obtain.
