We are currently looking for a passionate, organised, and customer-focused Function Coordinator to join our Sydney Head Office team.
The Role
Reporting to the Senior Function Manager (NSW) and National Sales Manager, this role is responsible for coordinating all functions and events to support revenue growth, maximise profitability, and deliver exceptional customer experiences across AVC venues.
You will act as the key point of contact for clients after a booking has been confirmed, managing all event details from coordination through to handover with venue operations teams.
This role is ideal for someone who thrives in a fast-paced environment, loves hospitality and events, and enjoys building strong relationships with both clients and venue teams.
Key Responsibilities
- Coordinate corporate and social functions across AVC venues
- Manage client communication via phone, email, and in person
- Prepare BEOs, event run sheets, invoices, and function documentation
- Maintain strong client relationships throughout the coordination process
- Liaise closely with venue teams to ensure seamless event delivery
- Ensure all event details are communicated accurately and on time
- Manage deposits, payments, and outstanding invoices in line with company procedures
- Conduct function site visits and attend meet & greets for key events
- Upsell function packages, promotions, and venue offerings to maximise spend per head
- Support continuous improvement by identifying opportunities to improve systems and processes
- Maintain accurate records and communication within booking systems including iVvy
We’re looking for someone who:
- Has experience in hospitality, events, functions, or customer service
- Is highly organised with strong time management and multitasking skills
- Has exceptional written and verbal communication skills
- Delivers outstanding customer service and builds strong relationships easily
- Thrives in a collaborative and fast-paced environment
- Has excellent attention to detail and problem-solving abilities
- Is proactive, adaptable, and solutions-focused
- Can work autonomously while also contributing positively to a team culture
- Has strong computer skills including Microsoft Word, Excel, and Outlook
- Has experience using event booking or reservation systems (preferred)
