ABOUT THE POSITION:
Reporting to the Senior Facilities Manager, Carlton Gardens, the Facilities, Fleet & Loading Area Coordinator coordinates the operations of the Melbourne Museum loading dock, administers Museums Victoria's vehicle fleet, and provides operational support in coordinating associated facilities works and services. The role supports the smooth, safe and efficient running of the loading dock and fleet — coordinating the delivery and distribution of goods, maintaining fleet records and service arrangements, supporting the availability and safe use of vehicles, and contributing to waste management and environmental sustainability requirements.
Some of the key duties include:

Manage the day-to-day operations of the loading dock area, including back-of-house security, supervision of postal and courier services, and the receipt and despatch of goods and machinery.

Coordinate the administration of Museums Victoria's passenger and commercial vehicle fleet, including scheduled servicing, repairs, replacements and returns, and vehicle availability for authorised users.

Maintain accurate fleet records and reporting, including vehicle usage, fuel consumption, maintenance, registration, tolls, fines, accidents and insurance documentation.

Monitor fleet expenditure against budget and support fleet planning, procurement and the transition to lower and zero-emissions vehicles in line with Victorian Government requirements.

Coordinate waste services across Museums Victoria, including technical requirements, wastewater testing and associated documentation.
The successful applicant will have:

Demonstrated experience coordinating the day-to-day operation of a receipt and loading dock area, mailroom or similar operational service, including materials and manual handling processes.

Demonstrated experience administering a vehicle fleet or comparable operational assets, including servicing, maintenance, recordkeeping, expenditure monitoring and coordination with internal users and external providers.

Demonstrated knowledge of Safety Data Sheets, risk assessments and occupational health and safety requirements, including the compliant management of hazardous and dangerous goods.

Demonstrated knowledge and experience in environmentally sustainable practices, including waste and wastewater management and the maintenance of associated records and reports.

Well-developed organisational, communication and problem-solving skills, including the ability to manage competing operational priorities and coordinate contractors and minor facilities works.
OTHER INFORMATION
This is an ongoing, full time position (76 hours per fortnight). The salary on offer is Grade 3, Value Range 1 - $81,496 per annum, pro rata + 12% Superannuation.
