Range 3 is distinguished by the introduction of management responsibility and accountability for the delivery of professional support services. The role will usually impact beyond the work area or professional field. It seeks to gain cooperation of other staff members or members of the school community to achieve specific objectives, such as in school administration, operations or educational programs.
Direction on targets and goals is provided but the position will have some degree of latitude in determining how they are achieved. This latitude will generally be limited by standard procedures and school policy. Deviation from standard procedures and school policy will require guidance and direction from senior management.
The provision of business management responsibilities becomes a feature at range 3. Management of staff to achieve the expected outcomes is a key responsibility. Staff management issues will be resolved with minimal reference to senior management, although guidance will be required in more complex cases. Senior management will be provided with timely reports and advice, although this will generally be confined to matters relating to the immediate work area, service provision or educational program and is unlikely to impact substantially on whole of school operations.
This is the minimum range for positions that carry a mandatory qualification requirement of not less than four years. Professional student support positions become a feature at range 3 (e.g. therapists, psychologists) where standard professional services are delivered. Professional support and guidance will be close at hand and deviation from standard procedures and school policy will require guidance and direction from senior management.
An education support class position supports the educational services being provided to students, but must not include duties of teaching as defined in clause 2.6.1 of the Education and Training Reform Act 2006 (Vic) or its successor. Supervision of students cannot be required except where it is an integral part of the employee¿s position or involves supervision of students individually or in small groups, in controlled circumstances, where the responsibility for students remains clearly with a teacher.
Daily Organisation

Coordinate daily staff absences and leave arrangements.

Arrange and confirm Casual Relief Teachers (CRTs) and replacement staff.

Prepare and distribute daily staff allocation and replacement schedules.

Maintain accurate records of staff attendance and absences.

Update and communicate daily organisational changes to staff.
Timetabling and Staffing Support

Assist with timetable adjustments due to excursions, camps, professional learning and special events.

Timetable development for day-to-day & special events.

Coordinate supervision arrangements and yard duty changes.

Support examination, assessment and special program scheduling.
Administration and Communication

Liaise with teaching staff, leadership, CRT agencies and external providers.

Prepare and distribute daily bulletins, notices and staff communications.

Maintain staffing databases and related documentation.

Generate reports relating to staff absences and coverage.

Assist with the organisation of school events, assemblies, information evenings and whole-school activities.

Coordinate room bookings and venue allocations.

Support operational planning during peak periods and emergency situations.
Compliance and Safety

Ensure all staffing arrangements comply with Department and school policies.

Maintain confidentiality of staff and student information.

Contribute to a child-safe environment in accordance with the Child Safe Standards.
Facilities and Asset Management

Coordinate repairs and maintenance of school buildings, grounds and equipment.

Develop and implement preventative and cyclical maintenance programs.

Manage maintenance requests and prioritise works.

Conduct regular inspections to identify maintenance and safety issues.

Support implementation of the school's maintenance plan and asset management requirements.

Obtain quotes and manage purchasing of maintenance supplies and equipment.
Contractor Management

Engage and supervise external contractors including electricians, plumbers, builders, cleaners and gardeners.

Ensure contractors comply with Department policies, Occupational Health and Safety requirements, Working with Children requirements and Child Safety Standards.

Monitor quality and completion of contracted works.
Compliance and Safety

Maintain Essential Safety Measures (ESM) records.

EMP Development and regular maintenance.

Coordinate required inspections, testing and servicing of facilities.

Support compliance with occupational health and safety requirements.

Assist with emergency maintenance and risk management activities.
Budget and Resource Management

Assist with preparation and monitoring of maintenance budgets.

Obtain quotes and manage purchasing of maintenance supplies and equipment.

Ensure value for money and appropriate record-keeping.
Administration

Maintain maintenance schedules, registers and compliance records.

Support school events through facility setup and operational requirements.

Liaise with school leadership regarding asset planning and improvement projects.

Manage AIMS portal.

Wallan Primary School is a growing primary school located in the township of Wallan, approximately 50 kilometres north of Melbourne. The school currently comprises 34 modern classrooms, alongside two Visual Arts rooms, an Auslan/Performing Arts space, a new kitchen, a mini gymnasium, a canteen, and a brand-new competition-grade Basketball Gymnasium.
