We are looking for a Practice Administrator to join our Melbourne Financial Lines team, providing dedicated support to two Partners and working closely with a broader team of lawyers and legal support professionals. This is an opportunity to become a trusted member of a high-performing practice, helping to keep matters moving, clients informed and the team operating efficiently.
As a key point of support, you'll be involved in a broad range of administrative, client service and matter management activities. The role offers plenty of variety and the opportunity to build strong relationships across the practice while developing your legal support expertise. You'll join a collaborative and down-to-earth team where initiative is valued, support is always available, and people are encouraged to grow and take ownership of their work
Duties and Responsibilities:
- Provide day-to-day administrative support to Partners and legal professionals.
- Coordinate client onboarding, matter opening and ongoing file management.
- Manage diaries, meetings, court dates and key deadlines.
- Prepare, format and finalise a range of legal and administrative documents.
- Assist with billing processes, client reporting and financial administration.
- Maintain accurate matter, client and CRM records.
- Monitor team inboxes and support workflow management across the practice.
- Contribute to a collaborative team environment, providing support during busy periods and across wider team initiatives
About you:
- Previous experience as a Legal Secretary, Legal Assistant, Practice Administrator or similar legal support professional.
- Litigation experience is highly desirable.
- Strong organisational skills with the ability to manage multiple priorities and deadlines.
- A proactive approach and willingness to take ownership of tasks.
- Excellent attention to detail and a commitment to producing high-quality work.
- Strong written and verbal communication skills.
- Confidence building relationships with stakeholders at all levels.
- Experience working in a fast-paced, professional services or legal environment.
- Familiarity with legal systems, billing processes or matter management platforms will be highly regarded.
