About the Role We are seeking a highly organised and detail-oriented
Design Support Administrator to support our design team and project delivery.
This role is critical in ensuring smooth project execution through effective
document management, version control, reporting support, and project coordination. You will work closely with Project Managers, Engineers, the Document Controller, and external design partners to ensure all documentation is accurate, compliant, and delivered on time.
Key Responsibilities Document & Drawing Management
- Prepare, review, and format project reports and design documentation
- Conduct quality checks to identify errors, inconsistencies, and missing information
- Manage design drawing submissions, including packaging and version control
- Coordinate stamping and tracking of vendor drawings
- Convert PDF drawings to AutoCAD files while maintaining accuracy
- Work closely with the Document Controller to ensure compliance with document processes
- Coordinate with external partners to manage and integrate outsourced design documentation
Project Coordination & Support
- Organise design meetings, prepare agendas, and track action items
- Support Project Engineers with administrative and coordination tasks
- Track design deliverables and ensure deadlines are met
- Assist with procurement activities and vendor documentation
- Maintain clear visibility of project timelines and documentation status
- Liaise with internal and external stakeholders to ensure alignment and consistency
Team Support, Improvement & Safety
- Support project teams and contribute to a collaborative work environment
- Build strong relationships and participate in team activities
- Continuously improve processes and develop skills
- Comply with WHS requirements and promote a safe workplace
- Identify and report risks while ensuring compliance with standards
About You
Essential
- Strong attention to detail with the ability to identify inconsistencies in documentation
- Experience with document control and version management
- Familiarity with AutoCAD and ability to convert PDFs to CAD
- Excellent organisational and time management skills
- Strong communication skills with the ability to work across multiple teams
- Experience in engineering, construction, or design-related environments (preferred)
- Understanding of project coordination and reporting
- Knowledge of WHS, quality, and compliance standards
Desirable
- Diploma in Project Management or similar
Additional Requirements
- Ability to travel nationally when required
- Flexibility to work across office and site environments
- Willingness to work flexible hours based on project needs
