The new Workplace Operations team works closely with academic and professional colleagues to ensure the University meets its operational and compliance obligations for casual academic staff. The team drives continuous improvement, embeds consistent best ‑ practice processes and frameworks, and oversees operational compliance across all faculties and business areas—ensuring cohesive, rigorous standards and accurate , timely pay outcomes in line with University policies, enterprise agreements and legislative requirements.
The Casual Academics’ Administration Officer (CAAO) plays a key role in delivering high ‑ quality operational support that ensures casual academic staff are allocated work correctly, paid accurately, and that all associated processes meet audit and compliance standards. Working closely with stakeholders, you’ll manage work allocations, timesheet reconciliations, enquiries and discrepancy case investigations, while providing clear, practical guidance on the compliance controls framework and processes. A strong analytical mindset is essential, as you will routinely interpret data, identify anomalies, assess risks and contribute insights that strengthen operational compliance and controls framework efficacy . This role suits an organised, detail ‑ focused administrator who enjoys problem solving, managing deadlines and contributing to a strong operational culture in a fast ‑ paced higher ‑ education environment.
Your key responsibilities will be to:
manage work allocations, and timesheet reconciliation and investigations with high levels of accuracy, analytical rigour , consistent process application and strong compliance judgement
resolve enquiries and support compliant pay outcomes , using data to identify anomalies , trends and risks, and escalat e non-compliance promptly
maintain complete, audit ‑ ready documentation and records in line with enterprise agreements, policy and operational controls
support pre ‑ semester , pay ‑ cycle and data ‑ quality activities , ensuring timely , accurate and analytically sound compliant delivery
deliver high ‑ quality administrative support that enables reporting, insight generation and continuous improvement , including identifying patterns , a nd pr oactive ly ra i sing compliance risks and process gaps
contribute to process reviews, testing and operational enhancements that strengthen compliance, data integrity and team capability.
demonstrated administrative experience in a busy, deadline ‑ driven environment, with the ability to self ‑ manage workload and flag risks early
strong attention to detail and accuracy, with confidence managing high ‑ volume , routine processes and data updates
compliance-focused, able to interpret requirements of framework and apply controls consistently
analytically minded, able to interpret data, identify anomalies and root ca uses , investigate discrepancies and provide clear, evidence ‑ based insights
clear, professional communicator able to manage enquiries and collaborate effectively within a complex network of stakeholders
experience working with systems, data and records management, with a commitment to maintaining complete and compliant documentation
organised, adaptable and comfortable navigating competing priorities during peak periods
