Purpose / Objective
The Facilities & WHS Administrator Volunteer plays a vital role in enabling ASC to maintain a safe and healthy environment.
This role oversees office/building maintenance, coordinates external vendors and actively support a safe working environment by responding to internal reports of physical hazards and taking simple, immediate corrective actions and acting as the primary point of contact for external vendors.
Reports to: People & Culture Manager
Commitment Period: Minimum 3 months
Days and hours required per week: 3 to 4 hours per week
Location: ASC Newtown Office
Duties & Responsibilities:
Facilities & Building maintenance coordination
- Coordinate and respond to office/building maintenance requests and facilities issues.
- Liaise with and coordinate external vendors and technicians (e.g., appliance repair, building management, trade services,security) for office repairs and deliveries.
- Escalate major facilities issues to the P & C Manager when financial approval or strategic decisions are required.
WHS Support
- Review physical hazards and near misses identified via formal or informal reporting
- Follow through with corrective actions in conjunction with the P & C Manager
- Assist with ensuring the general office environment remains tidy, safe, and welcoming.
Selection Criteria
- Experience and interest in WHS/Facilities coordination
- Intermediate computer skills (confidence in using the internet, Google suite and emails)
- Confident and clear communication skills to liaise with internal staff and external vendors/trades
- Ability to work collaboratively with other staff and volunteers
- Flexibility and willingness to take on ad hoc tasks as appropriate
- Ability to maintain professionalism, boundaries, discretion and confidentiality at all times.
