About the Role
We are seeking an experienced and highly capable Senior Administration Assistant to provide critical business support to our Leadership Team and manufacturing function. This is a pivotal role that sits at the centre of the business, helping to drive organisation, coordination and operational effectiveness across the site.
As the Senior Administration Assistant, you will act as the coordination hub for the Marand leadership team and manufacturing operations. You will be responsible for ensuring key business activities are effectively coordinated, administrative processes run smoothly, and important actions and commitments are tracked through to completion.
This is a diverse and fast-paced role that requires initiative, sound judgement, exceptional organisational skills and the ability to work confidently with stakeholders at all levels of the organisation.
Key Responsibilities
- Provide professional administrative support to the Leadership Team.
- Coordinate leadership meetings, prepare agendas, distribute materials and track actions to completion.
- Manage document control processes and support compliance-related administration activities.
- Provide administrative support to manufacturing and operational teams.
- Prepare reports, presentations and business correspondence.
- Coordinate site events, leadership workshops and business initiatives.
- Manage competing priorities and ensure critical activities are appropriately scheduled and completed.
- Support effective communication and information flow across the business.
- Maintain accurate records, documentation and filing systems.
- Assist with continuous improvement initiatives that enhance business efficiency and effectiveness.
What We're Looking For
We are looking for someone who thrives on bringing structure, organisation and follow-through to a busy operational environment.
You will ideally bring:
- Significant experience in a senior administration, executive assistant, office management or business support role.
- Exceptional organisational and time management skills.
- Strong ability to coordinate multiple activities and manage competing priorities.
- Excellent written and verbal communication skills.
- Advanced Microsoft Office skills, including Outlook, Word, Excel and PowerPoint.
- Strong attention to detail and commitment to accuracy.
- Experience preparing reports, presentations and meeting documentation.
- Ability to maintain confidentiality and exercise professional judgement.
- A proactive approach with the confidence to identify issues and implement solutions.
- Experience working within manufacturing, engineering, defence, construction or other operational environments will be highly regarded.
