Primary objective
Provide client-focused administrative, financial and fleet support services to southern fleet through invoicing, workshop job card, accident
reporting, purchasing and records management. Assist the Alice Springs Workshop Manager and Fleet Manager to ensure the effective
maintenance and compliance of frontline law enforcement and emergency service vehicles.
Key duties and responsibilities
1. Manage fleet financial administration, including supplier invoices, corporate credit card transactions, purchase orders, workshop job
cards and cost recovery through journals and financial systems.
2. Provide administrative support to workshop operations by coordinating vehicle servicing, workshop administration, freight and
logistics requirements, and supporting the Workshop Manager.
3. Maintain fleet, procurement and records management systems, ensuring accurate recording of financial, maintenance, accident and
vehicle information in accordance with organisational requirements.
4. Manage fleet resources and inventories, including spare parts, consumables, vehicle loan pools and accident/damage records, ensuring
effective stock control and cost allocation.
5. Liaise with internal and external stakeholders, including suppliers, contractors, finance, procurement, workshop staff and operational
personnel to support fleet maintenance and service delivery outcomes.
6. Support business continuity and continuous improvement by backfilling administrative roles as required and ensuring compliance with
organisational policies and procedures.
Selection Criteria
Essential
1. Demonstrated experience in financial and administrative processes, including accounts payable, invoice processing, purchase order
management and corporate credit card transactions.
2. Proven ability to maintain accurate records, undertake high volume data entry and attention to detail.
3. Well-developed communication, interpersonal and customer service skills, with the ability to engage effectively with stakeholders
from diverse backgrounds.
4. Demonstrated experience in a fleet, workshop, logistics, asset management or similar operational environment, including the ability
to manage competing priorities and meet deadlines.
5. Experience using financial and records management systems and sound knowledge of Microsoft Word and Excel.
6. Demonstrated ability to interpret and apply financial, procurement, records management and administrative policies and procedures
while exercising initiative and sound judgement.
7. Current Northern Territory Driver Licence with manual endorsement.
Desirable
1. Experience using NT Government systems, including VMS, NTPGPAY, Territory Records Manager or similar fleet, financial and
records management applications, and knowledge of NTG procurement processes.
2. Forklift Licence and knowledge of vehicle maintenance and operational requirements within a diverse fleet environment.
