Primary objective
Provide high level administration support and coordination to facilitate Ear and Hearing Service provision in the Northern Territory
through the development and day to day management of the outreach services schedule. This position provides leadership and
supervision to the NT wide administration team.
Key duties and responsibilities
1. Provide leadership, support, mentoring and training to new and existing administration staff members, including ongoing input
into staff performance plans, allocation of workload and oversight for completion of allocated tasks.
2. Form critical partnerships with internal and external stakeholders including NT Health, Hearing Australia and the Aboriginal
Community Controlled sector to ensure the objectives of the program can be met through strong communication and
collaboration.
3. Develop and implement procedures for the efficient and effective operation of the outreach services schedule, including
coordination of the daily activities of the outreach schedule, not limited to planning, coordination and confirmation of outreach
visits.
4. Undertake procurement of goods and services and manage associated procurement instruments and processes, including
credit care management, sourcing of quotes, monitor repairs and maintenance required for business continuity.
5. Work collaboratively to efficiently and effectively coordinate travel and logistics management to facilitate Hearing Services
across communities in the NT including planning, liaising, booking, record keeping and change processes.
6. Follow defined service quality standards, work health and safety policies and procedures relating to the work being undertaken
in order to ensure high quality, safe services and workplaces.
7. Foster a positive workplace culture through exemplary leadership practices and role modelling behaviour.
Selection criteria
Essential
1. Demonstrated ability to provide leadership, support and supervision and apply conflict resolution.
2. Proven experience in administration, outreach coordination and rostering/scheduling with a detailed understanding of primary
and hearing health care services, their scope, processes, client management and records in the NT outreach context.
3. Demonstrated high-level written and oral communication skills using sensitivity, discretion and judgement to effectively liaise
and develop partnerships with colleagues, and a diverse range of government and non-government stakeholders.
4. Proven ability to plan and manage workloads against a changing and competing demands so as to manage critical timeframes.
5. Demonstrated ability to provide organised and timely administration support using initiative, discretion and high order
judgement while demonstrating flexibility.
6. Demonstrated high degree of accuracy in record keeping data management and proven experience in online travel management
system and scheduling.
7. Proven competence in the use of the Microsoft Office suite, with particular skill sets in the use of Microsoft excel.
8. Demonstrated ability to work in a multi-disciplinary team in a cross-cultural environment with the ability to interact effectively
with people from diverse cultures.
Desirable
1. Tertiary Qualifications and/or relevant industry related experience in business or public health administration.
