Administration Officer / Receptionist (Casual)
Little TheraPeas is looking for a warm, organised and proactive Administration Officer / Receptionist to join our growing team.
This role is ideal for someone with previous experience in allied health administration who enjoys supporting families, keeping systems running smoothly, and being an important part of a collaborative team.
At Little TheraPeas, we provide occupational therapy services to children, adolescents and families across the Sunshine Coast. We are known for being family-centred, ethical, evidence-based and genuinely committed to helping children and families achieve meaningful outcomes. We are also expanding our professional development offerings for therapists across Australia, making this a varied and exciting administration role.
About the Role
This is a casual position based at our Little Mountain clinic.
Hours: One day per week: 10:15am – 4:45pm (30-minute unpaid lunch break) Two afternoons per week: 1:45pm – 4:45pm
Approximately 12–13 hours per week. Specific days and hours will be confirmed closer to commencement and may vary from time to time based on business needs. There may also be opportunities for additional hours or alternative shifts as required.
As the first point of contact for many families, you will play an important role in creating a welcoming and positive experience for our clients while also supporting the day-to-day operations of the clinic.
Key Responsibilities
- Answering phones and responding to enquiries Responding to emails Managing therapist calendars and client bookings Waitlist management Completing NDIS service agreements and administrative documentation Processing invoices and administrative tasks Following up outstanding reports and documentation Supporting social media and marketing activities Assisting with professional development and conference administration Supporting therapists with day-to-day administrative requirements Completing new client intake calls and onboarding processes Maintaining accurate records within Zanda practice management software
About You
We are looking for someone who:
- Has previous administration or reception experience, preferably within allied health Has a good understanding of the NDIS (highly desirable) Is confident working independently and managing competing priorities Has excellent written and verbal communication skills Is highly organised and detail-oriented Is efficient and proactive in their approach to work Is warm, approachable and genuinely enjoys supporting families Is confident learning and using technology and practice management systems Can contribute positively to a supportive team culture
