The Contracts Administrator supports the procurement and contracts function of active project delivery. This role provides hands-on support across the full RFx lifecycle from supplier engagement and tender coordination through to contract execution and ongoing administration. This role is highly detail-oriented and process-driven, with strong stakeholder coordination skills and a solid understanding of commercial and contractual fundamentals.

Qualifications
- Degree or diploma in Business, Commerce, Law, Project Management, or a related discipline (or equivalent demonstrated experience)
- Formal procurement or contracts training, CIPS, AIPMM, or equivalent is advantageous, but not essential.
Technical Skills — Essential
- Minimum 3 years’ experience in contracts administration coordinating competitive tender processes (RFI, RFQ, RFP) in a project or construction environment.
- Experience with SAP or equivalent ERP for purchase order and contract management.
- Strong documentation and drafting skills — can prepare clear, accurate correspondence, contracts, and procurement records with minimal review.
- Disciplined document control, version management, controlled distribution, register maintenance, and audit trail hygiene.
- Intermediate to advanced Microsoft 365:Word, Excel (registers, trackers), Outlook, Teams, and SharePoint.
- Experience supporting capital or construction projects preferred.
- Strong understanding of contract fundamentals and commercial terms.
- Experience working with Legal teams and contract redlining processes.
- Excellent document control and organizational skills.
- High attention to detail and ability to manage multiple active contracts simultaneously.
- Proficiency in Microsoft Office and ERP systems (SAP preferred).
Technical Skills — Desirable
- Familiarity with contract management systems or document management platforms (Aconex, Procore, or similar).
- Exposure to construction, mining, or major infrastructure project environments.
- Knowledge of contract structure, contract lifecycle administration, and commercial risk in construction or infrastructure contexts.
- Understanding of WHS compliance requirements for contracted suppliers in high-risk environments.
- Formal procurement or contracts training, CIPS, AIPMM, or equivalents.
- Experience in data center, infrastructure, industrial, or energy sectors.
- Familiarity with construction contract types (MSA, EPC, design-build, service agreements).
- Experience with contract lifecycle management (CLM) software
Support and coordinate end-to-end RFx processes, RFI, RFQ, and RFP, including assisting in the preparation of tender documentation, issuing to market, managing addenda, and coordinating responses.
- Maintain supplier registers and prequalification records; support supplier onboarding and engagement communications.
- Liaise with Procurement Lead and Business Managers to ensure RFx timelines and milestones, tracking submission deadlines, evaluation schedules, and award approvals meet business deadlines.
- Support the preparation and issue of formal correspondence to tenderers including clarification responses, addenda, and outcome notifications.
- Coordinate evaluation of RFx submissions, distribute submissions, track evaluator progress, assist in compiling evaluation records.
- Maintain conflict of interest declarations, evaluation documentation, and audit trails in line with process requirements.
- Coordinate the Supplier onboarding process in accordance with company policy.
Contract Administration
- Support the contract execution process in accordance with company policy prepare execution copies, coordinate signing, and maintain executed contract registers
- Administer contract documentation throughout the contract lifecycle variations, extensions, notices, and close-out.
- Track key contract dates, expiry, renewal options, milestone payments, and notice periods and proactively alert the project team.
- Maintain contract management registers and ensure contract records are current, accurate, and audit-ready.
- Support preparation of contract performance reports, KPI tracking, and supplier review documentation when required.
- Coordinate the resolution of contract queries and minor disputes by collating relevant documentation and maintaining correspondence records.
Procurement Administration
- Prepare purchase requisitions, support approval workflows, and track procurement status across active categories.
- Assist in developing and maintaining procurement plans, category templates, and sourcing schedules.
- Coordinate supplier meetings, debriefs, and negotiation sessions, scheduling, minute-taking, and action tracking.
- Maintain compliance records including insurance certificates, WHS documentation, and licences for contracted suppliers.
- Support reporting on procurement activity.
Stakeholder & Team Support
- Liaise with internal project teams, legal, finance, and external suppliers to facilitate procurement and contracting workflows.
- Prepare briefing notes, status updates, and executive summaries for the Project and Procurement Leads.
- Provide general project administration support as required, including document control and meeting coordination.
