We are looking for a reliable, switched on Service Advisor / Office Assistant to join our team.
Monday to Friday, 9:00am–4:00pm - NO WEEKENDS
We’re a busy independent mechanical and 4WD workshop, so we’re looking for someone who is confident, organised and capable of taking ownership of their role. You’ll be the main point of contact between our customers, workshop and management and will play a big part in keeping the day running smoothly.
About the Role
Your day-to-day responsibilities will include:
- Answering phones and responding to customer enquiries
- Booking vehicles in and managing the workshop diary
- Greeting customers and handling vehicle drop-offs and collections
- Keeping customers updated throughout the day
- Preparing and sending quotes
- Invoicing and taking payments
- Ordering and following up parts
- Liaising with suppliers
- Communicating with mechanics regarding jobs, labour times and parts
- General administration and data entry
- Maintaining accurate customer and vehicle records
- Helping organise the day-to-day workflow of the workshop
- Handling general emails and enquiries
- Making day-to-day decisions within the responsibilities of the role
- Supporting management with general office duties
Reliability and punctuality are extremely important to us.
We need someone who:
- Is available Monday to Friday, 9:00am–4:00pm
- Is reliable and turns up on time
- Is confident working independently
- Can make decisions and use their initiative
- Doesn’t need to be constantly told what needs doing
- Is organised and able to prioritise their workload
- Can multitask in a busy workshop environment
- Has excellent communication and customer service skills
- Is confident speaking with customers both in person and over the phone
- Has strong attention to detail
- Works well as part of a small team
- Is willing to learn and get involved
Mechanical knowledge is preferred
A good understanding of vehicles and mechanical terminology is preferred, as you’ll be working closely with our mechanics and communicating with customers about servicing, repairs, diagnostics and workshop jobs.
