Position Overview
Apex Short Stays Management is seeking a highly organised and proactive Office Manager to oversee daily operations and support the growth of our short-term rental portfolio.
This role is central to property sourcing, operational management, and delivering seamless guest experiences, while also providing direct support to the Principal in expanding the business across Australia and Southeast Asia.
The ideal candidate is detail-oriented, resourceful, and capable of managing multiple priorities in a fast-paced, growing business environment.
Key Responsibilities1. Property Research, Acquisition & Expansion
- Research and identify suitable properties in target markets (Sydney, Parramatta, Newcastle, Wollongong, and other key locations)
- Assist the Principal with expansion strategies across Australia and Southeast Asia
- Analyse potential property performance based on location, demand, and pricing
- Liaise with property owners, agents, and landlords to source opportunities
- Assess and confirm property suitability for short-term rental use
2. Legal & Compliance
- Verify property compliance with local short-term rental regulations
- Confirm eligibility under STRA and relevant state/international requirements
- Assist in preparing and reviewing lease agreements and management contracts
- Ensure properties meet safety, insurance, and operational compliance standards
3. Contracting & Agreements
- Prepare and manage lease agreements and property management contracts
- Coordinate onboarding documentation for new properties
- Maintain accurate records of agreements and compliance documentation
4. Property Setup, Styling & Launch
- Coordinate furnishing, styling, and fit-out of new properties
- Source furniture, décor, and household items in line with brand standards
- Oversee property setup and readiness for guest occupancy
- Ensure consistent presentation across all Apex properties
5. Listings & Revenue Management
- Create and manage listings across Airbnb, Stayz, and other booking platforms
- Write and optimise listing descriptions, pricing, and imagery
- Monitor occupancy, pricing performance, and booking trends
- Implement strategies to maximise revenue and listing visibility
6. Booking & Guest Management
- Manage booking enquiries, reservations, and guest communications
- Coordinate check-in/check-out processes and guest support
- Provide after-hours guest support on a rotating roster
- Ensure exceptional guest experience and positive feedback outcomes
7. Contractor & Service Provider Management
- Source, onboard, and manage service providers, including:
- Cleaning teams
- Maintenance and trades
- Linen and supply services
- Schedule and coordinate property servicing
- Monitor performance and maintain quality standards
8. Financial & Administrative Management
- Manage banking, payments, and expense tracking
- Perform accounting data entry and maintain financial records
- Reconcile booking platform income and operational costs
- Prepare regular reports on revenue, occupancy, and performance
9. Office Operations, Systems & Training
- Develop and optimise office procedures and workflows
- Implement systems to support scalability and growth
- Create and maintain staff training materials and operational manuals
- Ensure consistent processes across all properties and locations
10. Executive Support
- Support the Principal in strategic planning and business growth
- Assist with new market entry research (Australia & Southeast Asia)
- Provide operational support for expansion initiatives
- Coordinate projects aligned with growth objectives
Key Skills & Experience
- Experience in office management, property management, or hospitality (preferred)
- Strong organisational and multitasking abilities
- Excellent communication and problem-solving skills
- Experience with Airbnb, Stayz, or short-term rental platforms (highly desirable)
- Financial administration and basic accounting experience
- Ability to work independently and support growth initiatives
Role Requirements
- Availability for participation in an after-hours support roster
- Strong computer skills (Microsoft 365, booking platforms, accounting systems)
- Ability to adapt within a growing and evolving business environment
- Driver’s licence (preferred)
- Real Estate Licence (required)

Apex Short Stays Management specialises in sourcing, managing, and optimising short-term rental properties. We deliver premium guest experiences while maximising returns for property owners through professional management, strategic pricing, and high-quality presentation.
Pay: $75,000.00 – $80,000.00 per year
