We are looking for a capable, proactive and high-energy Office Operations Coordinator to support the day-to-day running of our business across office operations, HR coordination and finance administration.
This is a varied and dynamic role for someone who thrives on taking ownership, working with people and keeping things organised behind the scenes.
The Role
Based in our active Barangaroo office, you will play a central role in making sure our workspace, people processes, accounts and everyday admin run smoothly.
Your days will be highly varied. From managing supplier invoices and matching customer payments, to screening applicants, preparing new starter contracts or coordinating an internal team event. No two days will be the same.
You will also take ownership of the presentation and organisation of the office. This means setting clear standards, coordinating suppliers and service providers, and working with the wider team to keep shared spaces sharp, organised and welcoming.
You will work closely with our leadership team, with training and support provided across each area of the role.
What You’ll Do
Office Operations
- Own the organisation, presentation and smooth running of the office
- Coordinate suppliers, maintenance, deliveries and service providers
- Manage kitchen, stationery and general office supplies
- Maintain high standards across shared spaces, coordinating the wider team and service providers to keep the office clean, organised and welcoming
- Coordinate internal team events and staff activities
- Provide general office and administrative support where needed
Recruitment, Onboarding and People Support
- Advertise vacancies and coordinate candidate applications
- Review applications and conduct initial phone screening interviews
- Coordinate interviews and maintain professional candidate communication
- Prepare employment contracts, onboarding paperwork and new starter documentation
- Deliver first-day inductions and coordinate system access and equipment setup
- Maintain accurate employee records and support general people-related administration
Finance and Accounts Support
- Process and check supplier invoices, customer payments and weekly payment information
- Match transactions and maintain accurate records across business systems
- Assist with credit card reconciliations, subscriptions and supplier details
- Monitor payments and help resolve account discrepancies
- Provide general administrative support to the Finance team

Experience in administration, accounts support, recruitment, customer service or office coordination is advantageous, but full training will be provided on our systems and processes.
