Parkville Youth Mental Health and Wellbeing Service (PYMHWS) is Victoria’s newest public mental health service dedicated to the care of young people aged 12 to 25 experiencing complex mental health challenges.

The Opportunity:
The Workforce Resource Administrator plays a key role in supporting the establishment and day to day functioning of the casual bank at our new youth mental health and wellbeing service. This position is responsible for delivering high-quality administrative support across supplementary staffing functions, including casual bank arrangements, early career program administrative requirements and support to the Nursing Workforce Development and Learning Team to ensure safe and responsive service delivery.
Working collaboratively with the nursing leadership team and People and Communications team, the role also contributes to end-to-end recruitment activities across the broader service, ensuring recruitment processes are efficient, compliant, and aligned with workforce planning priorities.
The Administrator provides accurate and timely documentation, maintains systems and records, and ensures positive engagement with all. This position is vital to the development, onboarding and support of a sustainable and agile workforce that meets the needs of young people accessing our service.
What You'll Do:
Coordinate the daily administrative functions of the casual bank,
Maintain accurate records of casual bank members regarding availability and employment documentation for operational and planning purposes.
Contribute to the preparation of workforce reports, dashboards, and planning materials to support strategic decision-making.
Assist with end-to-end recruitment processes for roles across the service, including advertising, shortlisting, interview scheduling, reference checks, and offer generation.
Manage onboarding requirements by reviewing documentation, following up on missing items, and promptly responding to recruitment-related enquiries from candidates and stakeholders.
Update and maintain recruitment systems, workforce trackers, and databases to ensure information is timely and accurate
Provide essential administrative support to the Nursing Workforce Development and Learning Team to facilitate the delivery of professional development and training programs.
Support the specific administrative requirements of Early Career Programs
About You:
Proven experience working in a high volume, and fast paced environment, demonstrating effective time management, prioritisation, and the ability to handle multiple simultaneous requirements.
Demonstrated high degree of attention to detail and professionalism with the ability to analyse information, problem solve and ensure the accuracy of critical workforce and recruitment documentation.
Well-developed interpersonal and written communication skills, including a pragmatic and confident approach to liaising with a diverse range of internal and external stakeholders.
Demonstrated commitment to a collaborative, team-focused approach in supporting core administrative and service delivery functions.
Excellent computer literacy in the MS Office Suite and proven ability to quickly lean and efficiently use relevant workforce management systems and databases.
Ability to work independently and within a team, demonstrating a proactive, continuous improvement mindset by identifying and supporting enhancements to administrative processes, systems, and workforce development practices.
Demonstrated understanding and commitment to principles of patient-centres care and compliance with relevant legislation and organisational safety, quality, and risk policies
