THE OPPORTUNITY
This is an administration role with more moving parts than most. You'll be the operational backbone of a busy CBD engineering office — handling everything from travel coordination through to offshore personnel mobilisations, HR administration, project support and reception cover. The scope is varied, the pace is real, and the team around you knows how to get things done.

We're a privately owned consultancy with a track record built on practical delivery — brownfields modifications, subsea engineering, P&A campaigns, and offshore construction across WA, Southeast Asia, and beyond. THE ROLE
You'll be the first point of contact for the ICON office, coordinating facilities, providing broad administrative support across the business and managing reception.
A meaningful part of the role involves coordinating offshore personnel mobilisations, which means working to deadlines and managing logistics accurately. You'll also support HR administration, timesheet coordination, and project support functions as required.
Hours are Monday to Friday, 8:00am–4:30pm, from ICON's Perth CBD office.
KEY RESPONSIBILITIES
- Coordinate domestic and international travel and courier arrangements for office and project personnel.
- Coordinate offshore mobilisations for field personnel — logistics, documentation, and scheduling.
- Provide administration support to the Administration Manager, including timesheet coordination, credit card reconciliation, and leave request processing.
- Assist HR with onboarding and offboarding processes, training bookings, and corporate training register maintenance.
- Manage office consumables including stationery, PPE stock levels, and kitchen supplies.
- Support event coordination and staff meetings as required.
- Provide project support and document formatting assistance as directed.
- Manage front-of-house reception — phone enquiries, visitor management, meeting room coordination, and catering.
WHAT WE'RE LOOKING FOR
Essential:
- Demonstrated experience in an administration role — able to manage multiple tasks without losing accuracy or composure.
- Proficiency across the Microsoft Office suite.
- Strong attention to detail and a methodical approach to coordination tasks.
- Comfortable working to deadlines and managing logistics for multiple concurrent requests.
- Professional communication — written and verbal — in a client-facing office environment.
Desirable:
- Experience coordinating travel or mobilisations in an engineering, resources, or professional services environment.
- Familiarity with HR administration processes — onboarding, offboarding, leave management.
- Exposure to document control or project support in a technical environment.
