Job Description
We are seeking a highly motivated and experienced Administration Manager to join the Management Team at our Clinic. Reporting directly to the Director of Finance, this pivotal full-time role is responsible for leading and overseeing the Clinic's administrative functions, including reception, patient admissions, inpatient and day patient services, neurostimulation services and our large outpatient department.
As a key member of the management team, you will provide leadership, supervision, and support to the administrative team while working collaboratively with clinical and non-clinical departments across the Clinic. The role combines day-to-day operational management with strategic oversight, ensuring the delivery of high-quality administrative services, achievement of departmental KPIs, and timely reporting requirements.
Key Responsibilities

Lead, manage, and supervise the administrative team, including rostering, recruitment, onboarding, training, mentoring, performance management, and staff development.

Oversee the day-to-day operations of reception, admissions, outpatient services, and patient accounts.

Attend and contribute to daily, weekly, and monthly operational and management meetings.

Ensure compliance with Clinic policies and procedures, accreditation standards, and health fund requirements.

Develop, implement, and continuously improve administrative processes and systems to enhance efficiency and service delivery.

Monitor departmental performance and prepare timely reports, KPI data, and operational updates for the Director of Finance & Support Services.

Ensure the Clinic delivers exceptional customer service and a positive experience for patients, families, medical practitioners, and other stakeholders.

Effectively manage staffing resources and daily rosters to support operational requirements.

Identify training needs and provide ongoing coaching, mentoring, and support to team members.

Drive change initiatives and support continuous improvement across administrative services.
About You
To be successful in this role, you will be a confident and capable leader with excellent organisational and communication skills and a commitment to delivering outstanding administrative services within a healthcare environment.
You will bring extensive experience managing medium to large administrative teams within the health sector and have the ability to build strong working relationships with a broad range of stakeholders, including doctors, patients, health insurers, and staff. You will be highly organised, detail-oriented, and possess strong customer service and change management capabilities.
Essential Skills and Experience

Proven experience in a senior administration leadership or management role within the healthcare industry.

Strong leadership, people management, and team development skills.

Excellent organisational, communication, and interpersonal skills.

Strong analytical and problem-solving abilities.

Demonstrated experience managing billing, patient accounts, and accounts receivable processes.

High-level proficiency in Microsoft Office applications and experience implementing new systems and processes.
Desirable Qualifications and Experience

Qualifications in Administration, Management, Commerce, Finance, or a related discipline.

Experience using patient administration and hospital information systems.

Previous experience in hospital, specialist practice, or healthcare administration environments.

Knowledge of private health fund requirements and healthcare billing processes.
