Primary objective
The primary role of the position is to provide direct high level executive support to the Commander of the Greater Darwin
command as well as provide critical administrative support to the Darwin Police Station.
Key duties and responsibilities
1. Provide a high level confidential and professional administrative and secretarial service to the Commander and Executive
of the Greater Darwin Command.
2. Accurate, timely management of Executive unit records and information, following up on response deadlines as
necessary.
3. Provide Secretariat function for high level committees and meetings by preparing agendas, taking accurate minutes,
dissemination to members and recording in Territory Records Manager.
4. Ensure accounts for the Greater Darwin Command are processed in a timely manner including raising non-invoice
payment invoices and purchase order requisitions.
5. Undertake minor research and project work for Commander and Executive Managers as required.
6. Arrange and schedule meetings, manage diaries, prepare agendas, take minutes and maintain conference room bookings.
7. General office housekeeping including maintenance of stationary stock and office equipment.
8. Other administrative duties as required.
Selection criteria
Essential
1. Extensive experience in providing confidential secretarial and administrative support at an executive level – including
diary management, report preparation, transcribing and minute taking.
2. Demonstrated high level of proficiency in word processing, spreadsheets and database applications for administration.
3. Effective interpersonal and communication skills demonstrating professionalism, tact and sensitivity in dealing with a
wide range of clients within a Command Rank structure.
4. Knowledge of and experience in accounts payable and records management procedures.
5. Ability to organise and prioritise workloads and work under pressure whilst exercising initiative and flexibility in a team
environment with minimal supervision.
6. Willingness to work flexible or extended hours if required.
Desirable
1. Diploma or Certificate IV in Business desirable to provide sound administrative skills to support the Executive across the
Greater Darwin Command.
2. Knowledge of the organisation and principle functions of the Northern Territory Police.
3. Hold a current Northern Territory driver’s licence.
