THE ROLE
We are looking for a capable, organised and personable Team Assistant to provide general administrative support across a busy and professional business.
Working alongside an established EA team, this is a true all-round support role. You'll be on hand to assist wherever needed, helping with diaries, travel, filing, documents, meeting coordination and the general day-to-day administration that keeps the team running smoothly.
This could be a great opportunity for someone looking for school-friendly hours, with flexibility around the working day. Ideally five days per week, however hours can be structured around the right person, 9:00am–3:00pm could work perfectly, and we're open to discussing other arrangements.
The office is based in Rhodes with the train virtually at the door, making it an easy commute.
KEY RESPONSIBILITIES
- Provide day-to-day administrative support to the Executive Assistants and broader team
- Assist with diary and meeting coordination
- Book domestic and international travel, accommodation and transport
- Prepare basic travel itineraries and supporting documentation
- Assist with filing, scanning and general document management
- Prepare and format correspondence, documents and presentations
- Coordinate meeting rooms and assist with meeting preparation
- Process expenses, invoices and other general administration
- Maintain electronic and physical filing systems
- Assist with data entry and updating internal systems
- Provide overflow and back-up support to the EA team during busy periods or leave
- Liaise with internal teams, suppliers and external stakeholders as required
- Pick up ad hoc administrative tasks and generally be the person who is happy to jump in and help wherever needed
ABOUT YOU
You don't necessarily need to be a career EA. What matters is that you are organised, reliable, switched on and genuinely enjoy being the person who makes everyone's life easier.
You'll ideally bring:
- Previous administration, Team Assistant, PA or office support experience
- Strong organisational and time-management skills
- Good attention to detail
- Confidence using Microsoft Office
- A warm, personable and helpful approach
- The ability to juggle several requests without becoming flustered
- Initiative and a willingness to get stuck in
- Strong written and verbal communication skills
- Reliability, discretion and a genuine team mentality
