Reporting to the PMO Lead, you will play a key role in supporting the administration of project governance, controls, reporting frameworks and program coordination activities.
You will also provide project administration support across a diverse portfolio of projects within the PMO, with a particular focus on coordinating the end-to-end administrative processes required to successfully implement new services.
This is a hands-on, fast-paced coordinator role requiring the ability to move between multiple projects and workstreams daily, manage data accurately, meet deadlines, and communicate effectively with internal teams and external partners.
This is a full-time opportunity on a 12 month contract.
About the role

Maintain accurate project documentation, processes and records across multiple projects/ workstreams

You take pride in keeping things organised, ensuring information is easy to access and consistently up to date

Track risks, issues and dependencies of projects, escalating where required

You are detail-oriented and proactive, spotting potential challenges early and raising them appropriately

Assist in preparing reports, dashboards and status updates

You are confident working with data and can translate information into clear, meaningful updates

Assist with service readiness activities (approvals, funding, compliance)

You are motivated by seeing projects come together and supporting smooth, well-prepared launches

Provide administrative support across the planning, reporting and delivery of multiple projects within the PMO

You thrive in a fast-paced environment, balancing competing priorities while supporting overall project success

Proactively identify and recommend process improvements to enhance PMO effectiveness.
You are able to see inefficiencies in ways of working and take initiative to explore alternatives
About you

Formal qualification in Business Administration, or equivalent demonstrated experience in a similar administrative support role, ideally within a multi-site organisation such as an early learning centre or kindergarten.

Advanced proficiency in Excel (including data analysis, tracking systems) , with strong capability across Microsoft 365 (SharePoint, Teams, Word, Outlook)

Consistent track record of meeting deadlines and commitments and aptitude for working with project methodologies and agile ways of working

Strong organisational and time management skills, with the ability to prioritise competing tasks and manage workloads

Well-developed interpersonal and communication skills, with the ability to engage effectively with a broad range of stakeholders, including senior management and external partners
