We’re looking for a proactive, organised and customer-focused Hire Controller to join our Hobart team. This is a hands-on role at the heart of the operation, connecting customers, equipment, Workshop and Logistics to keep everything moving.

What You’ll Be Doing
As our Hire Controller, you’ll manage the hire journey from the first customer enquiry right through to off-hire.
Your day-to-day will include:
Customer Service & Hire Coordination
- Receive and process customer hire enquiries via phone, email and counter.
- Prepare and issue accurate hire quotes, contracts and off-hire documentation.
- Provide timely, professional customer service and respond to requests efficiently.
- Coordinate equipment deliveries, exchanges and collections, ensuring schedules are met.
- Liaise with Workshop and Logistics to confirm fleet availability, readiness and compliance.
- Manage on-hire and off-hire processes through Syrinx, maintaining accurate data.
Fleet Management
- Monitor fleet availability and utilisation to maximise equipment efficiency.
- Assist with scheduling servicing, repairs and inspections to keep equipment field-ready.
- Identify fleet shortages, excess stock and upcoming service requirements, escalating as needed.
- Work with the Workshop Supervisor to prioritise workload based on operational requirements.
Administration & Reporting
- Maintain accurate hire records, purchase orders and cross-hire documentation.
- Prepare daily and weekly hire and utilisation reports for management.
- Validate hire periods and off-hire times to support accurate invoicing.
- Assist with stocktakes, asset audits and fleet compliance documentation.
Safety & Compliance
- Ensure dispatched equipment meets company and statutory safety requirements.
- Participate in toolbox meetings and contribute to a strong safety culture.
- Report damaged or unsafe equipment immediately for assessment.
- Follow all company policies and site-specific safety procedures.
Key Performance Indicators
Success in this role will be measured by:
- Accuracy of hire contracts, documentation and data entry.
- On-time equipment dispatch, delivery and return coordination.
- Achievement of fleet utilisation targets.
- Customer satisfaction and positive feedback.
- Minimal hire discrepancies and invoice disputes.
- Checking hire periods and off-hire times to support accurate invoicing.
- Assisting with stocktakes, asset audits and fleet compliance.
- Playing an active role in maintaining a strong safety culture.

Ideally, you’ll bring:
Experience & Knowledge
- Previous experience in equipment hire, logistics or operations, ideally within pumping, dewatering or civil construction.
- Strong computer skills and confidence using hire management systems such as Syrinx, Dashpivot or similar.
- Excellent organisation, communication and multitasking skills.
- High attention to detail with accurate data entry and documentation.
- Understanding of logistics coordination, asset tracking or workshop planning is advantageous.
- Knowledge of pumps, layflat hoses, suction lines, tanks and fittings is highly desirable.
- A practical, team-first approach with the ability to stay calm and effective when things get busy.
Licences & Qualifications
- Forklift licence or previous experience working in a depot environment is advantageous.
