The role
We are hiring a Business Support Specialist to support our Directors with client delivery and internal work.
The majority of the work is internal, not client facing. You will turn messy tasks into clean, finished outputs using strong commercial judgement and high-level AI skills. This is not a traditional admin or VA role but will require those skills. We need someone who can work in the grey and produce work we would put in front of a client.
With the right person, the role can grow over time.
What you will do
- Support the Directors on client delivery tasks and follow-through between meetings
- Use AI tools (Claude, ChatGPT, Perplexity and similar) to draft, review and refine work to a high standard such as creating presentations and documents
- Review client documents and, then return clear, usable outputs
- Support marketing work: copy, content, campaign assets, website updates and simple digital delivery
- Handle light operational odds and ends when needed such as booking flights, calling suppliers etc.
- Build or update simple websites where you have the skill (highly regarded, not essential on day one)
- Support with the review of Xero files (highly regarded, not essential)
Who this suits
Someone with 10 to 20 hours a week available who wants meaningful work. You understand how small businesses run, write clearly, work independently, and ask smart questions. You are process driven and like creating repeatable ways of getting work done well.
What you need
- Strong commercial acumen and the ability to work in the grey
- Strong AI capability with tools like Claude, ChatGPT and Perplexity (not just one-line prompts)
- Clear written and verbal communication
- Good to strong marketing skills: copy, campaigns, digital channels, or brand execution
- Process driven, you build and follow clear systems rather than reinventing the wheel each time
- Flexible availability across the week
- Comfortable working remotely, with occasional local catch ups if near Geelong / Surf Coast / Melbourne
- Flexible rate of pay
- Experience in consulting, professional services or small business operations is a plus
